HNN Communities is seeking a full-time Business Process Specialist to join our team in Bellevue, WA. The Business Process Specialist supports the department’s business processes inclusive of project, program, and operational success in harmony with the Company’s strategic goals. This role also provides commercial real estate support in conjunction with the District/Portfolio Manager.
Job Responsibilities
  • Support department project and program management needs, helping to identify and prioritize resource allocations.
  • Gather data, provide quantitative and qualitative analysis, and complete ad hoc reporting as necessary.
  • Assist with identifying department metrics that will drive success, measure effectiveness, and support building a suite of operational performance reports for visibility by leadership.
  • Critically analyze business information, create dashboards, and track key department metrics utilizing BI software, Smartsheet, and Excel.
  • Maintain necessary Team Site updates and Community Health Dashboard access.
  • Support system roll outs for the department.
  • Engage in the writing and updating of company procedures and policies. Review and proofread the Operations Manual for necessary changes in conjunction with the Operations Department.
  • Be a primary project contact for the department’s Project Management efforts. Work effectively with all Project Managers and Specialists.
  • Support the Company’s annual budgeting process, ensuring consistency and completion by deadlines.
  • Provide commercial lease administration and support:
    • Provide support to the District/Portfolio Manager regarding commercial lease renewals across the portfolio.
    • Engage and coordinate with the Company’s designated commercial broker as soon as commercial space availability becomes known in order to identify a new tenant.
    • Support lease negotiations until an agreement is reached inclusive of TI allowance, rent concessions, etc. per policy.
    • Run tenant applications through the Company’s screening provider for credit/background.
    • Provide the Portfolio/District Manager with a prospective tenant’s financial statements, evaluating business stability and risk.
    • Obtain and manage proof of Certificate of Insurance (COI) for commercial tenants, ensuring that the COI meets the required insurance requirements outlined within the commercial lease agreement.
    • Draft commercial lease agreements for the Portfolio/District Manager to review using the Company’s lease agreement template.
    • Coordinate with the Company’s broker to approve and process commission invoice(s).
    • Maintain commercial lease agreement documents and filing.
    • Verify that late fees for commercials tenants are charged each month based on the applicable lease terms.
    • Ensure that all applicable notices/statements are issued to commercial tenants in accordance with the lease agreement.
    • Be the point of contact for existing commercial tenant needs and escalate concerns to the appropriate internal personnel for resolution.
  • Evaluate existing departmental processes, identifying and presenting possibilities to increase efficiency and reduce errors.
  • Support administrative systems usage of HappyCo software and establish a successful vendor relationship.
  • Assist in the setup of new property accounts for Amazon HUB.
  • Schedule and support effective training sessions and develop informative materials for distribution.
  • Educate employees on new workflows and ensure compliance.
  • Maintain knowledge of trends, best practices, and new technologies in the industry.
  • Complete assigned tasks by deadlines and communicate any obstacles with your supervisor in advance.
  • Participate in team meetings. Work collaboratively with other team members to complete projects as assigned.
  • Attend training classes as scheduled and assigned.
  • Additional duties as assigned by supervisor.

Qualifications
  • Minimum 2 year of relevant experience in multi-family property management, commercial property management, or business process management.
  • Four-year degree preferred.
  • Thorough knowledge of Federal Fair Housing and other applicable local, state, or federal regulations.
  • Experience using property management software, preferably Yardi as well as other relevant company software, including but not limited to Smartsheet.
  • Proficient using MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent written and verbal communication skills.
  • High school education or equivalent required.
  • Must be able to speak, read and write English in a manner sufficient to carry out duties.
  • Successful completion of background check and drug screen required.
  • Must be legally qualified to work in the U.S. meeting I-9 guidelines.
