Job Summary
Under direction of the Principal Investigator (Pl), the BAA will manage all administrative, business and research activities for the Hergenrother Laboratory, including coordination of the Chemical-Biology Interface (CBI) Training Program.

Duties & Responsibilities

Program Administration

  • Provide administrative support for the Chemical-Biology Interface (CBI) Training Program, which is funded by the National Institutes of Health (NIH)
  • Organize all scientific symposia (approximately 10 to 12 seminars yearly and one annual symposium). This activity includes booking space for presentations, meals, travel needs for speakers, planning and implementation of the events. Booking of other conference travel and other reservations for the CBI Training Program.
  • Maintain academic and financial record keeping based on requirements from NIH, the University and Pl. Includes budgetary analysis, annual reporting and coordinating traineeship stipends with the Department of Chemistry and the Graduate College.
  • Building and updating multiple programmatic webpages utilizing online templates (Wordpress and Wix), including updating of research data and graduate student information.
  • Plan and implement monthly program meetings for program director and graduate student trainees. This activity includes booking of meeting space, meal ordering and general coordination of activities for the event.
Business Administration
  • Manage complex portfolio of faculty funds. Includes analysis of monthly financial statements to determine compliance with budgetary and technical requirements of the university system and granting agencies. Assist with graduate students and postdoctoral associate payroll appointments.
  • Assist with Pis calendar scheduling, travel arrangements and creating itineraries for invited lectures and conferences. Authorized to hold a university credit card for travel reservations.
  • Onboard new group members including undergraduate, graduate, visiting students and post docs; includes aiding with visas, hiring paperwork, programmatic and equipment access.
  • Other duties as assigned and as needed for program/lab operations.


Research Administration
  • Coordinate the preparation and submission of research grant proposals to various granting agencies. Plan and coordinate financial and scientific reports to campus office and federal agencies.
  • Manage the research resources of the laboratories, assist Pis in oversight of research activities including undergraduate, graduate, visiting students and post docs; includes aiding with visas, hiring paperwork, programmatic and equipment access.


Required Qualifications

Bachelor's degree in business administration, management or a field related to position. Two (2) years of professional-level accounting, managerial and/or business experience, including one year at an administrative level.

Appointment Information
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. Salary is commensurate with experience.
