The main responsibility of the Automotive Office Manager is to manage the back-office accounting and administrative functions for the dealership, and support the General Sales Managers. This individual is responsible for processing and generating financial data for all dealership departments, which together represent the accurate financial condition of the business.

Job Duties

Overseeing financial and accounting processes and personnel, job duties and responsibilities may include, but are not limited to the following:

  • Manage daily operations of the accounting/administrative department, such as Accounts Payable, Accounts Receivable and Vehicle Titling/Documentation
  • Prepare monthly financial statements according to each dealership guidelines and the manufacturer's format and time frame
  • Control all posted documents, including vehicle deals, commissions, and additions and changes to inventory
  • Prepare daily bank deposit and cash report
  • Maintain an effective cash management system; assist in the forecasting of cash needs
  • Provide a timely daily operating control (DOC) and keeps the dealer general manager and owner informed about trends
  • Maintain the GL and reconcile all accounts monthly
  • Approve adjustments to inventory and receivable accounts
  • Ensure that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate
  • Print monthly journals, schedules, and general ledger. Closes month by processing accounting month-end
  • Assist in completion of annual review/audit
  • Administer charge-back program for late charges to inventory
  • Prepare monthly floor plan report for use in commission calculations
  • Hire, train, and supervise office personnel
  • Analyze and organize office operations and procedures
  • Prepare sales commission/chargeback detail reports
  • Manage the payoff of vehicle floor plan and works with bank representatives
  • Approve new charge accounts and oversees collection of past due accounts
  • Compile information and prepare reports as requested by management and/or dealer owner
  • Control petty cash amounts for dealership and sales department
  • Participate in the preparation of short- and long-term forecasts
  • Ensure compliance with all government regulations
  • Stay abreast of current factory incentives and codes deliveries on dealership computer system accordingly

Job Requirements

To be successful, the person that fills this role will possess the following skills and/or qualifications:

  • The ideal Office Manager must be experienced and familiar with all aspects of automotive retail dealerships, especially in the administrative and accounting departments, and have at least 3 - 5 years of solid automotive management experience
  • Strong communication, customer service, leadership and organizational skills
  • Attention to detail, with strong multitasking skills
  • Excellent analytical ability
  • Ability to work independently and in a team
  • Ability to supervise and direct employees
  • Be proficient in Microsoft Office
  • Knowledge of CDK’s Dealer Management System is a plus
