Assistant to the Chancellor Job at Catholic Diocese of Dallas

General Summary of the Position

Assists the Chancellor in the daily administration of the office. Also ensures that all inquiries and requests are handled professionally, discreetly and timely. Maintains diocesan files.

Essential Duties and Responsibilities of the Position
  • Answers phones/fax and delivers all messages to the Chancellor
  • Processes mail, expense reports
  • Mails correspondence
  • Serves as first line of communication to calls of concern or grievance made to Chancellor’s Office
  • Processes and administers extern priest clearance protocol
  • Composes Letters of Appointment, Letters of Delegation, Letters of Suitability and other canonical documents as instructed
  • Maintains Master Diocesan Database on Priest Personnel Assignments as well as clergy files
  • Sends out e-mail notifications to all priests, such as Clergy Announcements, Notices of Death, Advisories as instructed by Chancellor and Vicar General, etc.
  • Handles and administers the conversion of files to digital format and assists in overseeing of Record Retention Policy for Pastoral Center
  • Handles various administrative projects
  • Works with the Liaison for Statistical Data for annual Diocesan Reporting of the Apostolic Report and Official Catholic Directory
  • Assists Bishop office as necessary
  • Assists Vicar General / Moderator of the Curia office as necessary
  • Assists Chief Operating Officer office as necessary
  • Assists the Victim’s Assistance Coordinator as necessary
  • Performs other duties as assigned by the Chancellor
  • Other duties as assigned.

Job Requirements

Position Requirements

Knowledge, Skills and Abilities:
  • Practicing Catholic in good standing with an above average knowledge of Church organization
  • Strong computer skills, especially Microsoft Word and Access
  • Good communication and people skills
  • Strong organizational skills
  • Must be precise and detailed oriented, especially in the drafting of documents
  • Proficiency in Spanish preferable

Education and Experience:
  • College preferable
  • Experience working for the Catholic Church preferable
  • Experience working with civil law or in a law office a plus
