Description & Responsibilities
The Assistant plays a critical role in providing high-level administrative and logistic support to leadership, team’s programmatic sustainability work, external partnership activities, and organizational assigned duties. In this role, the Assistant manages calendars, schedules meetings, book travel arrangements, and tracks reporting to assist the program achieve its goals.
Ceres is looking for an energetic, highly motivated, self-started candidate to advance the work of Ceres’ mission and values. The candidate must have strong communication, writing, organization and administrative skills. This position reports the State Policy Senior Director with administrative management by the Manager, State Policy.
This role is a full-time position that may work remotely or in the Boston, MA office or San Francisco, CA office. Candidates must be flexible to work with employees in all US time zones.
Specific duties include, but are not limited to the following:
  • Provide administrative and logistical support to the Senior Director:
    • Act as a primary point of contact
    • Prioritize phone calls, correspondence, and meeting requests
    • managing calendars/schedules
    • ensuring follow-through of specific activities and projects to completion
  • Support the Senior Director in setting agendas for weekly team meetings, taking and disseminating meeting notes, and ensuring appropriate follow-up
  • Attend internal and external meetings, as assigned, in order to take notes, identify next steps, and ensure follow-through of activities to completion
  • Assist in development and management of team planning, goal setting, and impact tracking, working in concert with Senior Director and project leads
  • Support coordination, logistics, and management of team retreats, working closely with Senior Directors and project leads
  • Assist team in roll out and distribution activities of key reports and special projects
  • Provide event and development activity support for Senior Directors, including conducting research, drafting speaking points and/or presentations, and attending meetings, as needed
  • Assist with planning, coordination, and logistics for Ceres annual conference, Investor Summit, and other organization-wide event
  • Book travel, schedule meetings, and draft trip itineraries for Senior Director
  • Process Senior Directors’ expense reports, reimbursements, and other finance-related administrative duties
  • Support engagements with network members, external partners, funders, and special projects
  • Travel to meetings and events
Qualifications
  • Minimum of 6 months of work experience working in office setting, internships considered
  • Experience as an assistant with outstanding organizational and administrative skills
  • Knowledge of or experience with state legislatures, or state policy procedures, a plus
  • Strong organizational and time management skills with keen attention to detail
  • Demonstrated initiative and motivation, and ability to handle and prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Sound judgment and high level of integrity and professionalism, with an ability to manage confidential information and maintain discretion, diplomacy, and courtesy in all contacts
  • Ability to work both independently and collaboratively as part of a team
  • Proficient with Microsoft Office suite (Word, Excel, PowerPoint), other database applications, teleconference and webinar systems and standard e-mail computer applications
  • Interest and willingness to be trained on specific Ceres’ applications necessary for success: Salesforce, Bloomberg, and others
  • Desire to work in a not-for-profit, advocacy-focused organization
  • Interest in being part of a diverse workforce and willingness to support Ceres’ Commitment to Inclusion and Equity
  • Willingness to travel as needed
Compensation: The salary range is $48,000 to $50,000 and pairs with competitive benefits.
