Assistant Director, Undergraduate Admissions
Job Overview
Responsible to the Director of Undergraduate Admissions for the implementation and continual assessment of the Annual Strategic Recruitment Plan, primarily the strategic implementation, evaluation, and refinement of territory goals and recruitment activities for the Counselor Team. The Assistant Director reports to the Director of Undergraduate Admissions, serves on the Director’s Senior Staff, and supervises the Admissions Counselors. Manage annual budget of $100,000 in program operations.
Duties and Responsibilities
- Assists the Director in developing and implementing the annual recruitment plan with attention to constant assessment and refinement of the plan.
- Spearheads the territory management efforts of Undergraduate Admissions with the goal of enrolling a full class of first‐year and transfer students annually.
- Crafts, maintains, and evaluates a year‐round and multi‐year Admissions Counselor recruitment calendar. Establishes framework for team‐wide recruitment efforts while equipping Admissions Counselors to provide personalized and high‐touch engagement.
- Hires, trains, equips, and conducts regular performance appraisals for Undergraduate Admissions Counselors.
- With the Director, crafts team and individual enrollment targets for each territory, including submitted applications, completed applications, campus visits, and enrollees.
- Leads regular Counselor Team meetings, identifies learning opportunities for increased counselor knowledge base, and ensure peer‐to‐peer accountability for counselor recruitment activity.
- Conducts regular one‐on‐one meetings with Admissions Counselors, identifying strengths and challenges present in their territory, providing feedback on individual and team recruitment efforts, and motivating counselors to reach their fullest potential and goals.
- Works in close cooperation with Academic Departments and faculty, the Athletics Department, the Conservatory of Music, the Office of Multicultural Development, and Alumni and Parent Engagement to ensure that mutual recruitment objectives are realized in each respective area.
- Create an annual recruitment travel calendar, assigning local and national territories to admissions counselors and ensuring travel plans meet strategic goals. Ensures adequate counselor coverage at the Banks Welcome Center for prospective student visits throughout the year.
- Partners with the Undergraduate Admissions Hospitality Team to execute strong on‐campus visit events and individual visit experiences for prospective students and families.
- Represents Wheaton at college fairs, high schools, on‐campus, and at other recruitment events as needed.
- Approves counselor time sheets and manage overtime budget allowance.
- Assigns Saturday work schedules for Admissions Counselors

Qualifications
- Bachelor’s degree required, preferably from a Christian liberal arts institution
- Master’s Degree and/or 5 years of related admissions experience is preferred
- One or more year(s) of successful personnel management experience
- Strong investigative skills, with high attention to detail
- Ability to manage multiple tasks and projects in a fast‐paced and high pressure, high stakes environment
- A strong commitment to collaboration and proven ability to effectively communicate in written and verbal form required
- Strong competency in MS Office required. Competency with Ellucian CRM Recruit, Slate, Salesforce, or similar CRM required
Physical Requirements
The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 25 pounds.
