Medical Staff Office

The Medical Staff Office coordinates the provision of a variety of psychiatric and medical services to the patients at Colorado Mental Health Hospital at Fort Logan. The work unit provides administrative, clinical, strategic, and operational leadership to ensure high-quality care is delivered throughout the hospital. In addition, the work unit is responsible for overseeing all medical staff administrative and fiscal matters, ensuring hospital staffing of psychiatric and medical physicians and providers, and ensuring regulatory compliance.

Description of Job

This is an on-site position Monday-Friday

This position provides executive support to the Chief Medical Officer (CMO) and the Medical Staff office in overseeing and managing multiple hospital programs, departments, and initiatives. In addition, they will supervise and facilitate administrative operations of the Medical Staff Office, identify problems, develop solutions, research program initiatives, and manage and coordinate projects. The position also interprets principles, rules, regulations, policies, precedents, and other guidelines and develops/ implements solutions to ensure program goals and objectives are achieved.

Primary Job Duties

Medical Staff Quality Assurance, Administration & Management
  • Develops, manages, gathers, and tracks Medical Staff OPPE/FPPE (Ongoing Periodic Performance Evaluation / Focused Professional Practice Evaluation), quality & performance measures in collaboration with the Chief Medical Officer, Quality Management staff, and unit personnel.
  • Develops reporting and feedback procedures, analyzes trends, identifies gaps, and implements solutions, and develops confidential reports on physician/provider performance metrics.
  • Manages and oversees projects and initiatives for the programs under the Chief Medical Officer’s purview.
  • Develops and revises hospital policy, procedures, and protocols – from research and creation to routine reviews. Seeks feedback, makes recommendations, drafts language, incorporates edits, disseminates to stakeholders, and tracks through completion.
  • Develops, tracks, and closes the loop on action plans, creates educational materials and tip sheets, and provides training to address areas of concern or need.
  • Solicits stakeholder and subject matter expert input, researches problems, standards, and expert guidance to formulate questions, clarify areas of ambiguity, and communicate findings.
  • Develop and revise employee job descriptions, position change requests, salary justifications, and requests for reallocations on behalf of the CMO. Initiates, tracks, and oversees personnel action form processes and ensures timely facilitation of requests.
  • Assists the CMO with technical budget detail matters across multiple organizations, such as estimating/forecasting budget needs, preparing budget documents, overseeing compliance with budget guidelines, recommending adjustments to remain within budget, and interpreting budget materials, procedures, and processes. Works with the finance, accounting, and procurement departments to negotiate funding, modify encumbrances, and procure goods and services. Ensures supplies and services necessary for program operations are in place and within budget.
  • Assists the CMO with the recruitment of professional medical staff.
  • Takes the lead, and manages, multiple ongoing projects, meetings, and initiatives.

Executive Support
  • This position provides executive-level support to the hospital’s Chief Medical Officer (CMO).
  • Works collaboratively to complete daily tasks, troubleshoot unforeseen obstacles, and act as the point of contact for the Chief Medical Officer.
  • Manages day-to-day correspondence and information flow; disseminates information, documents, notices, and reminders from the CMO to various departments.
  • Adheres to high professional standards of confidentiality and discretion. The work unit handles highly confidential information and documents regarding patients, professional medical staff, and hospital matters.
  • Assists the CMO with confidential matters, fact-finding, and handling various communications of a sensitive nature.
  • Organizes and establishes work processes to ensure the delivery of program services.
  • Coordinates, organizes and ensures documents and materials are readily available for the CMO.
  • Develop professional correspondence on behalf of the CMO and communicate to various internal and external stakeholders, physicians, and hospital staff. Assists in the preparation of confidential correspondence related to employees and personnel matters.
  • Gathers, coordinates, and ensures CMO responsibilities are met across all areas of responsibility (e.g., PD updates, semi-annual time verification, attendance summaries, critical staffing designations, employee workplace reviews, hire dates, staff rosters, and any other required activities).
  • Completes general clerical duties, processes payment vouchers, handles mail for the CMO, coordinates the routing of signatures from multiple work units, processes requests for drive permissions, key and proximity access, etc. Maintains files and records and distributes correspondence.
  • Calendaring and file management.
  • Plans and organizes official functions.
  • Submits personnel action forms (PAFs), remains abreast of hiring processes and facilitates the hiring and off-boarding of staff.
  • Meeting Coordination and Minutes - organizes and schedules various committees. Prepares agendas and meeting materials. Records meeting minutes.

Staff Supervision
  • Supervisor for 2.0 FTE. Completes/signs performance plans and appraisals, administers progressive discipline, documents performance and provides documentation to the appointing authority to support corrective or disciplinary actions, and resolves informal grievances.
  • Ensures seamless operations of the Medical Staff Office through effective employee supervision, mentoring, and oversight.
  • Supervises Medical Staff credentialing administrator and program personnel.
  • Assigns tasks, monitors the progress of workflow, checks work products, schedules work, and establishes work standards.
  • Initiates hiring processes, interviews applicants, and recommends candidates for selection.
Backup Support for Medical Staff Office Administrative Personnel
  • Backup timekeeper for the Medical Staff Office and programs under the purview of the CMO (e.g., Medical Services, Lab, Pharmacy, etc.) using the KRONOS timekeeping system.
  • Track all KRONOS activity and ensure accurate accounting of all staff. Run reports, coordinate the approval of any missing entries, and maintain accurate records as required by CDHS policy and procedures.
  • Alerts the CMO and other unit supervisors of any deficiencies or signature requirements before payroll close deadlines.
  • Physician / Medical Staff scheduling to ensure proper coverage.
  • Assists the Medical Staff Coordinator with credentialing personnel.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications:

Bachelor's degree from an accredited institution in a field of study related to the work assignment.
AND
Three years of professional experience in an occupational field related to the work assigned to the position.

Substitutions:

Additional appropriate experience will substitute for the degree requirement on a
year-for-year basis.

Additional appropriate education will substitute for the required experience on a year-for-year basis.

Preferred Experience:

  • Three to Five years of supervisory experience, including performance management.
  • Five years of office management experience including data management and analysis, administrative support, tracking budgets developing financial projections, timekeeping, inventory management, and customer service.
  • Advanced experience and skill in collating, organizing analyzing, and disseminating large amounts of information with accuracy and clarity, including identifying patterns and trends, in addition to the development of reports to include graphs, charts, and tables.
  • Experience looking up statutes and interpreting the information.
  • Must be an excellent writer and savvy at summarizing complex discussions.
  • Highly proficient in Microsoft applications (Word, Excel, PowerPoint) and Google applications (Mail, Drive, Docs, Sheets, etc.) Adobe
  • Excellent oral and written communication skills, including grammar, spelling, and editing skills, and experience developing professional correspondence
  • Superior organization, customer service, and interpersonal skills
  • Ability to independently synthesize and organize data into a logical, impactful, presentable format
  • Compulsive attention to detail, accuracy, and recordkeeping practices.
  • Strong critical thinking and analytical skills with the ability and flexibility to learn new systems, processes, and policies/regulations/protocols
  • Experience as an executive assistant.
  • Experience leading other administrative staff
  • Demonstrated ability to prioritize, multitask, and meet deadlines with minimal direction and on behalf of executive leadership
  • Experience with Electronic Health Records
