Position Summary:

This Administrative Specialist position is located in Topeka, at the Eisenhower State Office Building, and is within the Office of Human Resources. The primary duties include maintaining records, reports, databases, spreadsheets, training records and files. The position works collaboratively with District HR staff to meet program requirements, answers questions, offers solutions to problems that may arise daily, and supports special projects that support program efficiencies.

Job Responsibilities may include but are not limited to the following:

  • Processes, and works closely with the Designated Employer Representative in maintaining, processing information necessary for federally mandated drug and alcohol testing (i.e., random, pre-duty and post-accident testing) in accordance with applicable statutes, regulations, and policies.
  • Completes monitoring and maintains KDOT employee Commercial Driver License (CDL) records for compliance with federal and state laws.
  • Serves as a backup to the administrative specialist receiving and processing Pre-Employment Physical Testing reports.
  • Serves as a backup to the administrative specialist to serve as a liaison between the Department of Labor Unemployment Insurance (UI) call center and KDOT.
  • Researches the Statewide Accident Review Committee (SARC) database to confirm accident detail needed for completing employment verifications, per U.S. DOT requirements and completes requested employment verifications.
  • Performs other duties as assigned.

Minimum Qualifications:

  • Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications:

  • Experience working with Microsoft Office Suite (including Word, Excel, Outlook, PowerPoint and Access), PeopleSoft Oracle (SHaRP), and Crystal Reports.

  • This position is subject to pre-employment physical testing. The selected candidate will be required to pass the screening as a condition of employment.
