Administrative Associate Job at Forsyth Technical Community College
The
Administrative Associate will be a member of a diverse team and will coordinate administrative duties for the division as well as provide administrative support and services for the division Associate Deans and Vice President.
Minimum Qualifications
- High School diploma or GED.
- Two-years administrative support or customer-service related experience.
- Ability to work in a diverse environment.
- Experience with Microsoft Office, spreadsheets, presentation and collaboration apps and software.
- Strong written and verbal communication skills with attention to detail.
- Associate’s degree. Degrees and hours must be from a college accredited by a United States Department of Education accepted accrediting agency such as SACSCOC.
- Experience working in an educational setting.
- Experience with Colleague by Ellucian
- Greet and assist those who come into the divisional office and direct them to appropriate areas on campus.
- Listen, document, and direct concerns/conflicts to the appropriate resource for resolution.
- Handle correspondence of division and oversee office operations.
- Make travel arrangements for Associate Deans and Vice President and assist with travel requests and reimbursements for faculty/staff.
- Maintain divisional calendar and track inclement weather days, communicating special workdays, meetings, and appointments to division.
- Collect, update, and distribute divisional reports and informational resources.
- Manage requests for information pertaining to the division and college.
- Record and distribute messages for students, faculty, and staff.
- Manage the recording and/or distribution of meeting minutes as requested.
- Maintain inventory of office supplies and coordinate divisional inventory reporting.
- Maintain record of instructor absences and class cancellations.
- Coordinate daily activities and duties with the divisional staff to ensure deadlines are met.
- Organize and maintain files for divisional records.
- Manage divisional reporting processes and work with divisional faculty/staff to ensure the accuracy of reports.
- Communicate deadlines and announcements to division and ensure reporting requirements are met.
- Manage the scheduling of interviews and meetings.
- Maintain personnel files for divisional faculty/staff and assist with processing and on-boarding new- hires.
- Maintain confidentiality and security of sensitive information.
- Create and process adjunct faculty contracts as needed.
- Submit maintenance and help desk tickets for faculty and staff as needed.
- Perform routine clerical duties including filing, typing memos, creating spreadsheets, etc.
- Serve on campus committees as assigned.
- Foster diversity, equity and inclusion with colleagues and students.
SUPERVISORY RESPONSIBILITIES:
- Assist in hiring, training, and supervising the division’s work study.
