Summary

Under general direction, is responsible for coordinating all administrative and technical support for Elected Official/Department Head.

Duties and Responsibilities

  • Provides administrative and technical support for the office to include the developing, maintaining, and implementing administrative procedures
  • Provides general administrative/clerical support to office and staff for scheduling, meeting preparation, travel arrangements, calendars, mail, greets and directs all visitors, copying, phone calls, filing, follow up and maintains office supplies and equipment inventory by checking on stock, anticipating future needs and placing orders as necessary
  • Performs administrative activities related with the preparation of the budget such as coordinating the collection of data, drafting final budget documents for Commissioners Court's approval and monitoring budget account balances
  • Analyzes and prioritizes all inbound materials and compiles supporting documentation prior to review by the Elected Official/Department Head
  • Resolves difficult and sensitive inquiries from Elected/Appointed Officials, general public, and other interest groups
  • Compiles and maintains financial information and develops complex reports using spreadsheet and database software
  • Attends and participates in meetings, committees and various work groups on behalf of the Elected Official/Department Head
  • Assists the Elected Official/Department Head with preparations for meetings, conferences and workshops
  • May supervise, lead or train administrative or clerical support personnel
  • Performs related duties as required

Minimum Qualifications

  • Graduation from an accredited college or university with a Bachelor's Degree in Business Administration, Public Administration, or a closely related field and four (4) years administrative experience in an office environment; or an equivalent combination of education and experience
  • Good knowledge of office administration; knowledge of and skill in applying rules of grammar, spelling and punctuation; basic knowledge of construction or engineer processes; knowledge of financial management systems, invoicing and budgeting; knowledge of word-processing, spreadsheet, presentation and database software
  • Skill in supervising and training administrative or clerical support personnel
  • Ability to communicate effectively with diverse groups of individuals utilizing tact and diplomacy; ability to effectively respond to questions and complaints; ability to communicate effectively, both verbally and in writing; ability to perform basic mathematical calculations; ability to adjust to rapidly fluctuating situations; ability to manage multiple projects simultaneously; ability to establish and maintain effective working relationships with co-workers, other County employees, Department Heads, other Elected/Appointed Officials, and the public
  • Must be bondable
  • Must have legible penmanship
  • Must have valid Texas driver’s license, motor vehicle liability insurance and personal injury insurance
  • Must secure and maintain a favorable background investigation and clearance
  • Must clear a pre-employment physical and drug screen
  • May be required to work more than 40 hours during the workweek
Working Environment and Physical Demands:
  • Constantly working in indoor conditions
  • Occasionally moves items weighing up to 10 pounds
  • Occasionally moves about the office
  • Frequently communicates with others; must be able to exchange accurate information
  • Constantly operates a computer and other office productivity machinery
  • Positions self to perform essential functions
  • Must be able to remain in a stationary position
