This position will be in support of the Uniformed Services University of the Health Sciences’ Center for Deployment Psychology (CDP), which is based in Rockville, MD. The Star Behavioral Health Providers (SBHP) Administrative Assistant supports activities related to CDP’s mission, which is to lead the development of a community of culturally mindful and clinically competent providers through the delivery of high-quality training and education, the convening of experts, and the dissemination of research-based treatment and the latest topics in military behavioral health. HJF provides administrative and management support to CDP. The CDP envisions a future in which all service members, veterans, and their families receive quality behavioral healthcare that meets their unique needs. We aim to achieve this vision through efforts to train military and civilian behavioral health providers to provide high quality deployment-related behavioral health services to military personnel and their families.

Responsibilities:
The CDP is seeking an experienced candidate to fill the position of Administrative Assistant related to the expansion of the Star Behavioral Health Providers Program (SBHP). The SBHP Program targets civilian providers serving the military population with an emphasis on members of the National Guard (NG). The incumbent will perform a wide range of administrative and clerical duties in support of the SBHP program and its administrative and executive staff. Some general tasks include setting up and maintaining electronic program files, performing tasks related to continuing education documentation, and assisting with initiating, organizing, and completing a variety of program activities. This individual will have a general knowledge of business processes and professionalism. Applicants must possess the ability to provide customer service in a culturally sensitive, accessible, and inclusive manner that demonstrates a comprehensive understanding of diversity, equity, and inclusion. The incumbent will:

Responsibilities
  • Perform typing assignments and data entry into program files, software, and shared drives to include updating databases as needed.
  • Create, edit, and maintain documents and spreadsheets to track the status and progress of SBHP tasks. Proofread all work.
  • Assist project managers and coordinators with utilizing and managing email distribution lists; marketing training events and provider recruitment and assistance, including helping to develop and disseminate online materials; and coordinating logistics related to continuing education documentation and taking attendance at trainings.
  • Record meeting minutes and correspondence as indicated.
  • Respond to general program-related emails including continuing education certificate requests.
  • Identify and implement as directed additional strategies to promote external visibility of the program, to include background information gathering, locating marketing resources, and other resources as identified.
  • As an integral member of the SBHP team, the AA is encouraged to recommend new procedures or strategies to improve processes or address challenges.
  • May perform other duties and responsibilities as assigned or directed by the supervisor and program managers and coordinators. This may include attendance at and participation in required training for role.

Required Knowledge, Skills, and Abilities
  • The applicant must have knowledge of proper grammar, punctuation, spelling and other professional writing standards. The applicant must also have experience with typing and data entry, basic office software, and organizational strategies.
  • The individual must also possess excellent time management and interpersonal skills as a member of a highly interactive team, as well as strong written and verbal communication skills including the ability to provide task updates ad hoc and at scheduled meetings.
  • It is expected that applicants possess the ability to provide customer service in a culturally sensitive, accessible, and inclusive manner that demonstrates a comprehensive understanding of diversity, equity, and inclusion.
  • This position requires willingness to learn details of the SBHP program and to develop basic familiarity with military and mental health culture and terminology. Exposure to military and/or behavioral health care settings is strongly preferred.

Education and Experience
  • High school diploma or GED required; Associate's degree preferred.
  • Minimum of 3-5 years of experience is required.
