Administrative Assistant (Financial Services) Job at SHC Financial
Job Description:
SHC Financial in Lake Oswego OR is looking for an Administrative Assistant to support their growing wealth management team. Responsible for a variety of administrative and clerical tasks. Responsibilities in this role include operational administrative processing related to the financial service industry, providing professional friendly support to the advisors, clients, and assisting in daily office needs. The ideal candidate for this role is reliable, resourceful, a good problem solver, organized and has acute attention to detail.
Essential Duties and Responsibilities:
Duties include but are not limited to:
- Prepare and process new account paperwork for advisors
- Prepare any additional follow up forms for clients per advisor’s requests
- Send documents via e-signature to clients
- Create, edit, reset, and delete account view profiles for clients
- Manage and handle advisor notifications
- Setup meetings and maintain calendars
- Follow through with all paperwork to ensure it is in good order
- Mail agreements, brochures, and other client account paperwork to clients
- Research and resolve account issues or miscellaneous questions for clients and advisors
- Maintain files and prepare correspondence and documents for advisors and clients

- MS Office – Word, Excel, Outlook
- Scheduling Software – Schedule Once
- QuickBooks Accounting software
- CRM Systems for Client Contact – Wealthbox
- Financial Planning Software for initial client set-up – Right Capital, FP Alpha or E-Money
- Mind Mapping software – Mind Meister or any other
- LPL Clientworks
Education and/or Experience:
Associate degree or higher in Business, Finance, Economics, Administration, or equivalent related experience and/or training. Knowledge of investments, financial operations, insurance, and trusts are a plus.
