The Administrative Assistant works with a team of administrative staff members to perform a variety of administrative tasks and assist clients in the Behavioral Health Program. We are a Federally Qualified Health Center (FQHC) and have been providing care to Yolo County residents since 1972. Like other community health centers, we provide care to anyone that walks through our doors and are in all major cities within Yolo County (Davis, Woodland and West Sacramento) and provide services throughout Yolo County. The community health center movement was born out of the civil rights movement in the 1960s with the mission to provide healthcare in communities where there are few or no options for care. Our mission is rooted in the philosophy that health care is a right, not a privilege. We serve and provide care for those disproportionally impacted by social determinants of health.

SALARY:

  • Non-exempt position
  • The pay range for this position is $18.20-$24.70. Starting pay within this range will vary depending on the job-related knowledge, skills, and experience.
  • May be eligible for annual 2% + 0-2% merit-based pay adjustment (0-4%).

Essential Functions of the Administrative Assistant:


  • Answer phones provide information on clinic services and referral services
  • Greet clients and provide culturally humble and responsive services with the recognition that each client is the expert in their own life and has the freedom to determine their goals.
  • Maintain client data sheet
  • Register clients, update demographics, consistent accuracy
  • Make reminder calls, reschedule visits
  • Assist with the scheduling of appointments
  • Prepare documents for assessments
  • Create and support with maintaining charts in ECW
  • Scanning documents into ECW
  • Supervise urine samples, enter labs into ECW
  • Verify eligibility for Medi-Cal/Partnership/Beacon/Medicare
  • Process payments for services when appropriate
  • Maintain lobby neatness/cleanliness
  • Update Bulletin Board; including pamphlet display board/Brochures.
  • Manage episodes in Avatar System
  • Enter Cal OMS into AVATAR System
  • Keep and update Urine Analysis (UA) testing log
  • Responsible for remaining within the legal/ethical standards, including confidentiality and HIPAA
  • Responsible for understanding, explaining and enforcing all rules and regulations associated with clinic policy.
  • Other duties as assigned.

MINIMUM POSITION REQUIREMENTS:


Education: College education preferred, high school diploma or equivalent.


Special Skills/Equipment:
Bilingual Spanish/English preferred. Demonstrated ability to answer many phone lines simultaneously while maintaining courteous and patient phone manner. Knowledge of computer software; Microsoft Word Microsoft Excel

Intermediate computer proficiency required. Must have a commitment to excellence and high standards. Must have effective and flexible written and verbal communication, organizational abilities, and analytical skills. Must be able to manage multiple priorities and develop workflows. Required to have versatility, flexibility, and a willingness to work within changing priorities with enthusiasm. Attentive to detail and can follow verbal and written instructions. Expected to have strong interpersonal and rapport building skills with persons from varying backgrounds, identities, and experiences. Able to work independently and knows when to consult and ask for help. Actively supports and encourages low threshold access to care. COMPLETED COVID-19 VACCINATION REQUIRED

Work is performed in a typical office environment with moderate equipment noise. Travel to other agency sites may be required.
