Administrative Assistant Job at Tao Group Hospitality
This is a temporary opportunity; we are looking for temporary administrative support. It is the primary responsibility of the Administrative Assistant to provide high-level administrative support.
ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:
- Provides high, executive-level support.
- Manages information flow in a timely and accurate manner.
- Organization and tracking of corporate filings and paperwork.
- Manages and prioritize executives’ calendars and coordinate meetings as required.
- Arranges executive travel and assists in expense report submissions as required.
- Maintains the confidentiality of sensitive information, at all times.
- May provide administrative support and assistance with special projects in own and other divisions as needed.
- Ensure all commitments and responsibilities are planned and follow-up appropriately
- Attend meetings as required
- Ensure all required materials are available to leaders prior to meetings
- Organize Corporate meetings to include setting up conference calls, preparing presentations, catering etc.
- Foster inter and intra dept collaboration and builds and facilitates teamwork to achieve results
- Research, prioritize, and follow up on incoming issues and concerns addressed to department leaders including those of a sensitive or confidential nature
- Reconcile invoices and other statements
- Prepare and draft agendas and other documents
- Review mail/incoming correspondence, sorting, and filings
- Accept & sign for items and/or packages that are dropped off
- Other tasks as assigned daily
WORKING KNOWLEDGE REQUIREMENTS:
- Minimum of one to two (1-2) years’ experience as an Administrative Assistant
- Understanding of general office administration and support
- Understanding of working with senior leaders
- Proficient in Microsoft Office Suite including Outlook, Word, & Excel
- Printing, faxing, scanning, filing, copying and binding
- Customer service

- Must be able to move quickly through work and set the pace in the office
- Must be able to push and lift up to 25 lbs.

- 5-25% Local Travel (United States)
- Work in an environment that is subject to varying levels of noise, crowds, and smoke, the severity of which depends upon the guest volume
- May work extended hours irregular shifts, evening and/or weekend shifts, and holiday work may be required
- Maintain a professional, neat, and well-groomed appearance adhering to Company standards
- Must be effective as part of a team; ability to interact with internal and external customers, managers, and co-workers in a professional, courteous manner
- Ability to maintain a high level of confidentiality
- Ability to handle a fast-paced, busy, and somewhat stressful environment
