Brief Description

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Responsibilities

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

  • Provides a variety of administrative support to various departments (executive, management, human resources, accounting, shipping, etc.) as assigned.
  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Prepares agendas, schedules, and materials for meetings.
  • Records and distributes minutes or other records for meetings.
  • Maintains and creates materials for bulletin boards and digital displays.
  • Creates and updates operations manuals and company policies as directed by management.
  • Provides support for company events.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Maintains a system for recording expenses.
  • Assists expats to ensure a smooth working and living transition. This includes helping expats find housing and transportation, assists in obtaining necessary documentation, Visa, and insurance, etc., and helping expats acclimate to their new surroundings.
  • Performs other related duties as assigned.

Skills and Abilities

  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.

Education and Experience

  • High school diploma required; Associate's degree in Business Administration or related field preferred.
  • One to three years of related experience in an administrative role.

While performing the duties and responsibilities of this position, the employee is occasionally required to stand, walk, sit, climb, reach above shoulders, and move from place to place. The incumbent is frequently required to talk and listen and use hands to finger or handle. Specific vision requirements for this position include close vision and the ability to adjust focus.

The incumbent will occasionally be required to lift up to 25 pounds.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The employee works in an office environment where the noise level is moderate. Occasional trips to manufacturing areas will be required, and occasional travel for company business may also be required.
