We are looking for an Administrative Assistant who enjoys diving in and helping get the job done. An ideal Administrative Assistant is someone who flourishes in a changing environment and enjoys meeting new people, has a high degree of attention to detail, is a taskmaster that loves checking things off your list, and enjoys a variety of tasks.

Our office hours are 8:30-5 pm – this is a full-time position.

Qualifications for a successful Administrative Assistant:

  • Team player with a positive attitude
  • A high school diploma or general education degree (GED) is required.
  • Proficient computer skills, including Microsoft Office
  • Strong, demonstrable verbal and written communication skills
  • Comfortable with routinely shifting demands
  • A high degree of attention to detail
  • Working knowledge of general office equipment

Program Assistant Duties Include:

  • Font desk reception for people entering the office
  • Ensure individuals entering the office follow our COVID precautions and check-in before entering
  • Assist or support team with special or ongoing projects as-assigned
  • Phone system management: Answer phone lines, screen and direct or route calls, and take messages.
  • Open, sort and distribute or route mail
  • Order and stock office and kitchen supplies
  • Maintain and coordinate services for office equipment including Printer/Copier/Fax Machine, kitchen appliances, and postage meter.
  • Maintain training RSVPs, book conference rooms, collect payments, and notify HR and attendees of upcoming scheduled training; communicate updates as needed
  • Prepare and disseminate correspondence of presentations and spreadsheets; disseminate confidential correspondence and maintain confidential files.
  • Ensure all necessary paperwork related to the individuals we serve is properly managed.
  • Communicate with programmatic team to gather health care documentation and assist with timely follow-up visits.

Salary:

$14.00 - $15.00 per hour
