Essential Job Functions:
- Prepares bi-weekly payroll via computer system for Director’s approval
- Maintains accurate payroll calendars for Wiley Hall staff (excluding dietary and housekeeping)
- Advises Director if tardiness, absenteeism, missed punches, etc. fall outside of MCC standards
- Preparation of employee termination and transfer slips
- Sets up new employee orientation for scheduling and payroll purposes
- Maintains strict confidentiality regarding employee information
- Distributes paychecks per policy
Staff and Scheduling Requirements
- Prepares a 2 week staffing schedule (at least 2 weeks in advance) with attention to requests for benefit time, staffing par levels and contractual obligations
- After Director’s approval, posts schedule for staff access in their work area
- Makes changes to schedule upon receipt of proper paperwork from affected staff member
- Makes calls to replace staff call-ins Notifies the households of staffing changes
- Follows procedures for awarding overtime and tracking mandatory overtime as outlined in contract
- Files staffing schedules for Administration / DOH review
- Tracts employee annual physicals from the Intra-net listing (reminds staff when due); notifies Director of non-compliance
Receptionist / Clerical Duties
- Performs administrative duties for Director, Case Manager and RCC’s by conducting research, preparing reports, handling confidential information, maintaining records, disseminating information, and coordinating projects and / or events
- Maintains awareness of Director’s calendar of meetings / scheduled events
- Answers telephone, receives and delivers messages, schedules appointments, responds to or initiates inquiries-either independently or as directed
- Handles incoming and outgoing mail
- Prepares and maintains schedules of resident outside appointments (specialists); internal appointments (salon and specialty clinics on MCC campus i.e. dental, podiatry, eye, ear) and transportation to same as needed
- Prepares letters, reports and forms
- Requisitions and maintains office and resident supplies
- Sets up and maintains files / resident charts / DOH forms and reports
- Maintains adequate copies of commonly used forms at all times
- Receives and calculates Gift Shoppe revenue
- Attends meetings and training sessions as required
- Keeps all resident and staff related sensitive information confidential
- Performs other duties as assigned by the Director
Job Qualifications:
- Associate Degree in Secretarial Science or equivalent experience preferred
- Knowledge and understanding of NYS DOH Assisted Living Regulations highly desired
- Must possess excellent interpersonal and communication skills
- Familiarity with basic principles of accounting desired
- Excellent organizational ability
- Must be detail-oriented with the ability to work independently
- Must possess good judgment and critical thinking skills
- Personal Computer skills, including Word Processing skills – Word/Excel
