Administrative Assistant Job at Disney Parks, Experiences and Products
The Administrative Assistant will be responsible for the day-to-day workings of the Vice President of Financial Planning for Disney Parks, Experiences and Products (DPEP), and the Director of Global Marketing, Communications & Public Affairs, and Imaging Finance for DPEP and Enterprise Commercial Inclusion Strategy Finance. Responsibilities
- Proactively manages calendars and schedules meetings, including updating the calendar for recurring and/or notable events, when meetings change, coordination and logistics including invitations, audio/video conferencing set up, providing dial-in numbers, assuring necessary presentation equipment is provided, ensuring timely and effective communications, and getting visitors situated upon arrival
- Primary contact for all incoming phone calls; handle phones with courtesy and efficiency; coordinate conference calls
- Coordinate and support the planning of moderate to complex on-site and off-site events and meetings
- Manage the planning, coordination, and execution of business travel including itinerary, meeting coordination, remote support when executive is out of the office, with a very close eye to detail
- Proactively anticipate scheduling issues and support executive in identifying and circumventing scheduling issues
- Interface directly with other senior executives and their support teams – your ability to work well with people on all levels is a very important part of your job
- Review your leader’s schedule to build-in time for things like thinking and traveling to their next meeting
- Organize ongoing list of open projects and status of projects to ensure alignment with the executive’s plans and deadlines
- Providing general office management support to the team, including the maintenance of supplies
- Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company
- Understand the day’s priorities so you can be strategic about how you direct phone calls
- Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
- Prepare and submit expense reports in a timely manner
- Assist with special projects as needed
Basic Qualifications
- A minimum 3 years of experience supporting business executives in large organizations in an administrative role
- Positive team player with an enthusiastic, energetic, upbeat attitude, reliable with a strong service and caring orientation
- Ability to collaborate – to work and communicate efficiently and effectively with others through demonstrated strong verbal, written and interpersonal skills to assure successful interaction with all levels of employees and external contacts
- Ability and eagerness to learn the substance of the work in which the team is involved, in order to be an effective facilitator within the business unit
- Demonstrated strong ability to be proactive and self-motivated and anticipate administrative needs, takes initiative
- Highly organized, attentive to detail, and ability to multi-task effectively
- Ability to make independent decisions and demonstrate good judgment in the handling of issues; including those that involve sensitive and confidential information
- Demonstrated ability to prioritize multiple tasks, meet deadlines, make decisions, manage competing demands and change course of action quickly in a fast paced environment while maintaining positive disposition
- Demonstrated exemplary organization and time management skills
- Demonstrated computer proficiency within a Windows environment, including Word, Excel, PowerPoint, Outlook and SAP
Preferred Qualifications
- At least one year experience with SAP/Concur
- Experience at The Walt Disney Company
- Experience with Apple and Windows desktop systems
Required Education
- High school degree or equivalent
Preferred Education
- Bachelors degree or equivalent
