Position Summary

Administrative Assistants are responsible for a wide variety of duties. Some administrative assistants may take on specialty duties or lead roles; however, their overall goal is to provide excellent internal and external customer service to every client, host home, biological family, visitor & employee of Ariel. Administrative Assistants typically work as part of a team.

Essential Duties and Responsibilities

Depending upon the employee’s specific position they may participate in all or some of the tasks listed below, as directed by their supervisor:

  • Act as a receptionist: answering, screening, and responding to callers and directing calls to the appropriate staff members.
  • Ensure workstation and lobby area are clean and presentable to the public. Perform office duties as listed on the opening and closing procedures.
  • Maintain strict confidentiality with all records that Ariel Clinical Services has at its disposal.
  • Coordinate with the staff to ensure the purchase of food and/or beverage for meetings and events.
  • Coordinate, create, and maintain files for adult services which includes clients, host home providers, and vocational.
  • Coordinate the distribution of client file documentation to appropriate parties.
  • Regularly audit client and host home files to ensure compliance with Rules and Regulations and Agency Standard Operating Procedures.
  • Provide clerical or secretarial duties as necessary for the organization to operate efficiently.
  • Provide support to program manager and case managers to ensure their needs are readily and effectively met.
  • Complete archiving of data as needed.
  • Help and assist in preparation of trainings.
  • Assist in the recruitment of new host home providers.

Additional Duties and Responsibilities

  • Must work closely with other Ariel Programs and offices.
  • Performs other duties as assigned.

Education and Experience

Required:

  • High School graduation or equivalent, minimum age 18.

Preferred:

  • Two years experience working with intellectual/developmental disabilities population.
  • Experience with medical records documentation or terminology.
