The Position

Accounts Payable Technician

The Position

The Accounts Payable Technician is responsible for a variety of general accounting and fiscal activities. They will oversee and coordinate all accounts payable functions such as processing purchase orders and claims for payment in accordance with City policies and procedures.

Examples of Essential Functions

The essential functions typically performed by the Accounts Payable Technician include the following:


  • Performs accounts payable duties; prepares and processes all associated documents related to area of assignment.
  • Receives and processes purchase orders and claims for payment in accordance with City policies and procedures; verifies invoices correspond to purchase orders.
  • Reviews and reconciles vendor statements.
  • Verifies and reconciles the accounts payable ledger.
  • Produces, records, and issues checks to satisfy the City's accounts payable obligations; matches and compiles invoices to checks.
  • Inputs data and prepares charts, graphs, tables, and reports by hand or by using a calculator or computer.
  • Monitors and processes travel advances and travel expense reports.
  • Maintains traditional and automated filing systems by sorting, filing, shelving, or storing materials, and checks accuracy and completeness of information being filed.
  • Maintains various financial or statistical records requiring the use of independent judgment.
  • Prepares periodic and special financial reports for both internal and external distribution.
  • Interacts with the public or internal customers in person, via email, or over the telephone to obtain or to provide routine information or to resolve discrepancies.

Qualification Guidelines

Education

High school diploma or recognized equivalent.

Experience

Two or more years of experience in accounts payable, accounts receivable, procurement, or a related field. Two years of college experience within Accounting, Finance, Business Administration, or related field may be substituted for one year of related experience (for maximum of two years of experience).

Desirable

Able to perform 10-key by touch; Associate's degree in Accounting, Finance, Business Administration or a related field; experience with Microsoft Office products; and knowledge of municipal operations and organizations.
