We are a Minnesota based family owned business with a location in Fridley MN. We are looking to fill an Accounts Payable / Receivable Receptionist position. We are looking for someone detail oriented, with good computer skills, customer service experience preferred, a strong work ethic and a desire to be part of a team. You would be responsible for attending to the phone and interact with visitors face to face. Supply information regarding the organization to the general public, clients and customers. Handle Accounts Payable, Accounts Receivable, and electronic filing as assigned. Act as back-up for other office staff, as needed. Provide light administrative duties. The hours are M-F 8am-5pm. The essential duties include:
  • Answer the main telephone line into Hydraulic Specialty, Inc in a professional and cheerful manner.
  • Screen and direct the calls by paging or forwarding to cell phones or voice mail.
  • Page phone calls professionally over the intercom throughout the building.
  • Must keep track of the calls that are holding and know who the caller is holding for when the calls ring back after 1 minute
  • Direct callers asking for information about North American Trailer or Blaine Brothers to those locations
  • Sort and mail out customer invoices daily
  • Sort through the daily mail and distribute to recipients
Process Accounts Payable to include:
  • Great work ethic
  • Willingness to jump in and help out where needed
  • Interact in Automated AP Solution to review all invoices for appropriate documentation and approval prior to entry into ERP System and prior to payment
  • Ensure invoices are coded correctly and charged to the correct branch and departments.
  • Submit/Enter Accounts Payable invoices into the ERP System
  • Manage the e-mail inquiries from vendors and print off e-mailed invoices.
  • Reconcile monthly Vendor Statements to ensure payables are entered timely.
  • Help maintain accounting record filing and scanning into document filing system.
  • Write hand checks for local purchases and post the checks into the ERP System.
Process Accounts Receivable to include:
  • Process Credit Card, Check, and Cash customer payments, Post payments into the ERP System, and send journal references to Staff Accountant
  • Scan Customer Checks daily to the bank via the remote scanner
  • File check remittances into the document filing system
  • Reconcile Credit Card, Check, and Cash receipts to daily batch totals
  • Manage the Credit Card pre-authorizations from service calls and ensure they are processed timely
  • Cashier and accept credit card payments for the Parts department, Repair Shop.
  • Maintain the Hydraulic Specialty, Inc Petty Cash box.
  • Take incoming customer phones calls to accept credit card customer payments
  • Provide invoice copies and related documents to customers and employees as requested.
  • Let Credit & Collections know when customer payments are missed/skipped and when there are over payment/short payments.
Other Office duties to include:
  • File Repair Orders, Sales Orders, and other related paperwork into the document filing system.
  • Responsible for ordering office & kitchen supplies
  • Tidy and maintain the reception area
  • Back up the additional office duties as necessary
