Job Description for A/P Clerk

Job Title: Accounts Payable/Payroll Clerk

SUMMARY

Code, post and pay all Accounts Payable for the Commercial Van Interiors, Inc. branches (10 total), as well as the Kansas City and New York branches. Experience with QuickBooks and Excel is a must.

ESSENTIALS DUTIES AND RESPONSIBLITIES include the following and other duties may be assigned.

Accounts Payable for ComVan, CVI of Missouri and CVI Eastern Region:

1. Post Vendor Invoices after matching to PO for St. Louis, Phoenix, Las Vegas, Albuquerque, Houston, Austin, San Antonio, Wentzville, Phoenix Fleet, AT&T Shipments, Kansas City and New York.

2. Review vendor statements/request missing invoices.

3. Process requests from Branches to set up new accounts with Vendors by filling out Vendor Applications.

4. Process requests for Sales Tax Exemption Certificates to be sent to Vendors.

5. Request Vendor’s W9 to be sent to us and maintain W-9 files.

6. Process monthly rent invoices and keep lease maturity schedule up-to-date.

7. Process check requests from branches.

8. Record checks written out of the branch expense accounts. Verify proper supporting documentation has been sent to support the check amount(s).

9. Maintain Void Check Schedule for ComVan, CVI of Missouri and CVI Eastern Region.

10. File all ComVan, CVI of Missouri and CVI Eastern Region accounts payable checks/invoices in storage area; at end of year, move one year of files into storage boxes to prepare for the upcoming year

Monthly Duties:

1. Perform monthly bank reconciliations for operating and expense accounts.

2. Record inventory transfers between branches.

3. Export monthly co-op detail and assemble check copies, credit card receipts and other supporting documentation to submit for co-op reimbursement.

Other Requested Duties/Skills:

1. Prepare daily line of credit schedule to send to ownership

2. Track branch incident reports (may require processing and tracking of insurance claims).

3. Verify validity of customer resale certificates and keep resale certificate tracking spreadsheets up-to-date.

4. Order upfit labels and fulfill branch orders when needed; transfer cost of those label orders through journal entry.
