Position Summary:
The Accounting Manager (AM) is responsible for all financial management, business compliance, and general office administration. The AM will proactively manage all financial components of Kate Arnold Wines including, but not limited to, all financial reporting through any predetermined financial accounting software. Accurate and timely financial reporting including Profit & Loss and Balance Sheet presentation to the owner is imperative.
The AM will be solely responsible for all company and brand compliance on a federal, state, and local level with support provided by an outside consultant. All distributor order facilitation will be managed by the AM. The AM will report directly to the owner.
Core Competencies:
Wine & Spirits Industry Knowledge
- The AM will exhibit a willingness to learn all facets of the wine and spirits industry. The knowledge requirement of the wine and spirits industry will include general industry trends, all financial methods and reporting requirements, and all legal and compliance requirements. Wine and spirits product knowledge is both encouraged and will be supported with training; however, product knowledge is not imperative to success in the AM role.
Communication Skills
- The AM will have strong written and verbal communication skills. Proactive communication is warranted, required, and expected. Knowledge of how and when to communicate is imperative. Written communication via email will be professional, concise, and well organized. The AM must have strong phone communication skills combined with a polite phone demeanor. Recommendations to improve either revenue or margin performance are strongly encouraged and welcomed. The AM will coordinate and communicate with the National Sales Director to enhance all facets of business performance.
Management Skills
- The AM will have superior time, file, and data management. The AM will demonstrate prolific time and task management skills with the ability to prioritize tasks for timely implementation, efficiency, and effectiveness.
Planning & Financial Skills
- The AM will plan and schedule financial and sales review meetings on regular intervals. Beyond capturing and organizing all financial data, the AM will present all information with accuracy and command the ability to decipher and interpret financial data. The ability to assess and analyze sales and financial data is both beneficial and a necessity to perform at an acceptable level. Annual planning will be a joint effort between the AM and Owner.
Technology Skills
- The AM will be QuickBooks certified. All Microsoft Suite applications will be utilized, and the AM will demonstrate a high level of skill in all the Microsoft applications. Specifically, the AM will extract, organize, and assess financial data through Microsoft Excel and pivot tables from within.
Leadership Skills
- Initiative is the key component that the AM must demonstrate. Suggestions on how to better organize, plan, and communicate within the organization is expected. The AM will possess the professional courage to address any business concern and provide solutions to both the National Sales Director and the Owner. Initiative is expected.
General Business Skills
- The AM will have a penchant and interest for general business acumen. The AM will absorb and retain information and demonstrate the ability to learn on the job.
Essential Duties: Time Allocation
Financial: 45%
- Responsible for all financial reporting-Monthly P&L & Balance Sheet Statements
- All A/P and A/R associated tasks-record, receive, and document
- Manage and enter all financial transactions into a well-organized general ledger
- Actively suggest margin improvement opportunities
- Financial file management-budget management
- Meet with external CPA when appropriate
- Ensure financials are well organized for external CPA and tax submission
- Cash flow management
- Update and manage COGS in timely fashion
Administrative: 25%
- Monthly update and distribution of Volume Model
- Well maintained and updated login information for all compliance
- Organize all monthly company meetings
- Maintain working order of any planning or financial analysis document
- Work with owner to manage annual budgeting and planning process
- Create, edit, and maintain any Excel based planning models
Regulatory: 30%
- Maintain federal, state, and local compliance
- Renew all state compliance in a timely and accurate fashion
- File required tax reporting for any applicable states
Daily Tasks:
- QuickBooks Daily entry and management
- Cash flow reporting and management
- All A/P and A/R entries and process
- File management-costing, invoice, sales, regulatory
- Manage all tasks and projects via Trello
- Daily communication with all Kate Arnold Wines staff
- Purchase Order receipt, entry, and facilitation
Weekly Tasks:
- Budget management
- Cash flow management
- Payroll approval - (payroll to be managed by outside entity)
- Calendar management-manage required monthly meeting schedule
Monthly Tasks:
- Banking reconciliation
- Monthly update of all financial statements
- Financial presentation to owner
- Costing-update all COGS files
Education and Experience:
- Bachelor’s degree (Accounting major preferred)
- 2+ years of related experience

Please note the Accounting Manager position at Kate Arnold Wines will require workdays that are longer than eight hours, and work week hours that exceed 40 hours.

Pay: $50,000.00 - $65,000.00 per year
