Job Title: Warehouse Administrator

Department: Service

Reports to: Parts Manager

Location: Raleigh, NC

FLSA Status: Hourly / Non- Exempt

SUMMARY

This position requires a high level proficiency in Microsoft Excel.

Responsible for performing administrative duties related to warehouse operation.

This will include but is not limited to:

· Filing vendor extended warranty reimbursement claims—including tracking, follow-up, and ensuring receipt of funds

o will include handling parts and/or returning parts to vendors if necessary

· Filing new/unused parts/equipment reimbursement claims—including tracking, follow-up, and ensuring receipt of funds

o will include handling parts and/or returning parts to vendors if necessary

· Assisting Parts Manager and Purchasing & Receiving Agent with daily organization and communication of order management

o will include communicating with dispatchers, sales team, and technicians

· Managing and maintaining all tracking and communication mechanisms (Excel, ERP, Online) that assure efficient warehouse operation

o will include heavy use of Microsoft Excel, including intermediate/advanced formulas and functions

EDUCATION AND EXPERIENCE

· High School diploma or equivalent required

· High level proficiency in Microsoft Excel is required

· Intermediate/advanced knowledge in Microsoft Office Products is required

· HVAC and/or warehouse experience preferred but not required

REQUIRED ATTRIBUTES AND SKILLS

· Must have the ability to perform intermediate/advanced Excel formulas and functions

· Prior HVAC and/or warehouse experience would be helpful, but a desire to learn about HVAC parts and equipment is required to be successful

· Must be able to communicate professionally via phone and email with vendors, billers, accounting, dispatchers, sales team, and technicians

· Must be able to work in a fast-faced warehouse environment requiring multi-tasking and prioritization skills with minimal guidance and supervision to meet deadlines

· Applicant must be organized and detailed oriented

LICENSES/CERTIFICATIONS:

· Must have NC Drivers License

PHYSICAL REQUIREMENTS

Regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl; and talk or hear. Frequently is required to climb or balance. Regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Proper use of Personal Protection Equipment (PPE) is required while performing tasks.
