Duties and responsibilities

  • Credit card reconciliations
  • Process Accounts Receivable payments
  • Process Accounts Payable checks
  • Account reconciliations
  • Assist with resolving issues for the Accounts Payable team
  • Research both customer payment issues and vendor payment issues
  • Help develop procedures for the Accounts Payable team
  • Develop spreadsheets for vendor reconciliation and review
  • Develop and maintain core return items and track receipt of payments issued
  • Develop and maintain consolidated parts purchases on multiple spreadsheets and track POs and status for accuracy
  • Work with vendors on new vendor requirements and/or products and develop tracking and reconciliations for them
  • Reconcile intercompany accounts (AP & AR)
  • Complete credit applications
  • Review vendor set up and verify W-9 and COI on file. Work on obtaining from vendors.
  • Review that all vendors properly set up in accounting system and marked correctly for 1099 purposes
  • Facilities – We have multiple facilities. Some in operation and others that are in construction. This position will be required to help find equipment rental companies and set up service providers for these facilities.
  • Track equipment to return
  • Set up utilities for facilities
  • Work with service providers and contracts for maintenance
  • Research new service providers
  • Invoice facility rent and reconcile inter-company accounts
  • Properly expense and capitalize project purchases

Qualifications

Qualifications include:

  • Advanced Excel experience

- must be able to model, write formulas, merge information from spreadsheets and be able to summarize data with the use of pivot tables.

  • Computer Skills - To perform this job successfully, an individual should have at minimum, an intermediate level knowledge of Microsoft Office. Advanced Microsoft Excel experience (Pivot Tables, Formulas, xlookups required).
  • Must be able to manage a high transaction volume in an efficient and accurate manner
  • Hands-on experience in operating spreadsheets and accounting software

Working conditions

Job is performed in our corporate headquarters. Working hours generally are Monday – Friday 8:00AM – 5:00PM. Some overtime and weekend work may also apply on a week-to-week basis, but must have prior approval.

Physical requirements

Prolonged periods of sitting at a desk and working on a computer.

Job Type: Full-time

Pay: $39,000.00 - $44,000.00 per year
