The Senior Administrative Assistant provides part-time, in-office support for the Office of Inclusion, Diversity, Equity, and Access (IDEA). The position requires approximately 30 hours per week during the School Session of mid-August to mid-June.
The Senior Administrative Assistant will ensure smooth execution of the objectives of the office: programming that supports and strengthens the bonds of community while also connecting the schools into local, regional, and national networks and partnerships. Primary responsibility is to assist the Director of IDEA and, when necessary, other School Directors, in the management of programs, initiatives, and processes related to the objectives of the office.
Responsibilities include, but are not limited to:
- Maintain the Director’s appointment calendar and schedule meetings with internal and external partners. Make travel arrangements for the Director. Manage the office in the Director’s absence; maintain contact with students/faculty, staff, and community partners as required.
- Manage and execute office correspondence. Maintain records and data systems; prepare purchasing/accounting paperwork including purchase orders, and remuneration for presenters and venders.
- Build and maintain a comprehensive calendar via CranNet which includes All Schools Inclusion, Diversity. Equity, and Access page, Holiday detail concerning religious and cultural events for internal and external calendars, and all IDEA office events and programs. Support the CranNet IDEA focused pages by posting new materials.
- Coordinate with other Schools offices concerning IDEA shared responsibilities surrounding admissions, professional development, and community engagement.
- Generate requisite data reports from system databases that advance and support the work of the office.
- Coordinate materials concerning professional and students IDEA learning and leading: distribute, collect, and submit student/ adult applications for IDEA leadership initiatives: Generation of Promise, Students Leadership Retreats, including external conferences such as the Student Diversity Leadership Conference (NAIS), People of Color Conference (NAIS), Anti-Defamation League’s No Place for Hate, Seeking Educational Equity and Diversity (SEED), or ISACS professional and family virtual learning Bridges.
- Maintain correspondence with community partners that reciprocate learning synergies with the Schools: such as AIMS, ISACS, NAIS, INDEX, Focus Hope.
- Execute programming detail (work orders, technology requirements, payments, and contracts) for annual and special IDEA programs such as: Detroit Testing event, Admission Diversity Reception, Ramadan/ Iftar dinner (when it occurs within the school calendar), and other on campus events.
- Maintain in person attendance, punctuality, and performance standards set forth in Cranbrook’s employee handbook.
Requirements:
- High School Diploma or GED required; Associate or Bachelor’s degree preferred.
- A minimum of five years’ experience providing administrative support at a senior level or comparable experience required.
- Proficiency in Microsoft Office products required (Word, Excel, Access, PowerPoint, Outlook), as well as internet browsers, Adobe systems, and database management. Knowledge of Cranbrook-specific computer networks a plus.
- Ability to prioritize and organize multiple tasks with deadlines.
- Demonstrated initiative and creativity.
- Demonstrated relational skills.
- Work experience with nonprofit or educational organizations preferred.
- Excellent written and verbal communication skills required.
