Position Title: Secretary to the Special Education Director

Terms of Employment: As per contract

Union Classification: Support Staff

FLSA Classification: Non-exempt

Qualifications:

  • High School Diploma or equivalent required
  • Associates or Bachelor’s Degree preferred
  • Knowledge of Special Education procedures and NHSEIS preferred
  • Excellent written and verbal communication skills
  • Excellent organizational skills with the ability to set priorities and work independently
  • Excellent technology skills including the use of word processing, spreadsheets, database management and email programs
  • Ability to handle confidential information with complete security
  • Experience working in a multi-faceted office setting preferred

Reports To: Special Education Director
Evaluation: Performance of this job will be evaluated in accordance with provisions of the Agreement between FMRSD and the Fall Mountain Regional Educational Support Personnel Association by the SPED Director.
Job Goal: Under the direction of the Special Education Director, this position performs a variety of clerical and technical functions to support the Special Education Department in regards to fiscal, personnel and special education processes/procedure responsibilities. In a professional and highly confidential manner, interacts and works cooperatively with staff, students, and parents.
Performance Responsibilities

  • Assists the Special Education Director in budget preparation and tracking, including monitoring income and expenses to the SPED general budget funds and IDEA Grant.
  • Maintains an inventory of IDEA funded supplies in accordance with federal requirements for grants.
  • Enters invoices for departmental purchases into the accounts payable system to be paid, maintaining vendor information, ensuring accuracy and resolving billing / shipping issues as needed with vendors.
  • Orders and distributes supplies, forms, books, and other materials as necessary for the department and creates purchase orders as needed.
  • Ensures that highly privileged and sensitive information regarding the school district and individual students is maintained in a confidential manner.
  • Maintains all special education program records in compliance with state and federal guidelines and District policies in a secure and confidential manner.
  • Processes incoming paperwork submitted to the special education office, ensuring completion and following up with case managers as needed to obtain missing components, signatures, etc.
  • Assists with and prepares documentation for mediations and due process hearings
  • Prepares and processes catastrophic aid documentation and submits reports within deadlines
  • Maintains accurate and complete special education student files, including IEPs, evaluations, and other data.
  • Enters and monitors special education data NHSEIS system and trains other staff in the use of NHSEIS as needed
  • Compiles and prepares reports for the special education director, administrator or outside agencies as requested or required using a variety of web based programs to complete and submit.
  • Processes Medicaid billing
  • Assists with the planning and organization of parent meetings and forums as required including scheduling, inviting participants (e.g. teachers, specialists, parents, etc.), confirming attendance and distributing appropriate materials.
  • Enters work orders as requested by staff for facilities and/or IT assistance and repairs, etc.
  • Oversees the tracking of time and attendance of personnel in online programs such as TimeClock Plus & AESOP.
  • Serves as the telephone receptionist for the Special Education Department at Central Office answering phones, routing calls, and taking and distributing messages.
  • Provides support to the Special Education Director including but not limited to preparing correspondence to staff, parents, students, and community members.
  • Performs general office duties to include but not limited to typing, filing, sorting, handling incoming and outgoing postal and interoffice mail.
  • Performs other duties / tasks as requested by the Special Education Director.

Physical Requirements
While performing the duties of this job, the employee is frequently required to sit. The employee will occasionally be required to stand, walk, bend and reach. The employee must be able to occasionally lift and / or move items weighing up to 15 pounds. Manual dexterity is required to finger, handle or grasp objects. Must be able to hear, see and talk.
