CLASS SPECIFICATION
Title: Seasonal Human Resources Coordinator Level: 8225
CHARACTERISTICS OF THE CLASS:
Under direct supervision of Human Resources Managers, performs a variety of para-professional duties, including but not limited to: confidential work related to employee recruitment, timekeeping, selection, discipline, and related areas. Performs related duties as required.
EXAMPLES OF DUTIES:
- Organizes, maintains, and files confidential records to facilitate and support human resource functions and activities.
- Maintains records on employee assignments and employees’ status.
- Prepares personnel form 166 on employees to assign, transfer, promote, terminate, act-up and related other actions. Ensures timely processing of employee assignments, transfers, promotions, terminations, acting-up designations and other related actions.
- Follows through with processing personnel reports, confidential performance evaluations, disciplinary records, grievance reports and other employee reports.
- Maintains confidential records and files.
- Verifies timekeeping reports, confidential employment histories, and other background information and reports information to manager or to appropriate authorityPrepares job announcements and accepts applications for employment.
- Subject to review, conducts preliminary screenings of applications against established selection standards to determine which applications meet minimal requirements.
- Contacts applicants for additional information.
- Schedules job applicants for interviews, performance tests or other screening devices and notifies them of dates.
- Helps coordinate processing of applicants.
- Answers inquiries concerning applications, status of vacancies and other personnel matters and releases non-confidential information, via telephone and/or email.
- Drafts letters, types and distributes notifications of non-selection and similar personnel related materials.
- Conducts exit interviews.
DESIRABLE MINIMUM QUALIFICATIONS:
Training and Experience:
Completion of two years of college plus at least three years of experience performing personnel administration duties, or an equivalent combination of education and experience is required. College level course work in Human Resource Management, Public Administration, Business Administration or Organizational Management is preferred.
Knowledge, Skills and Abilities:
Knowledge of standard personnel practices and administrative procedures. Strong computer skills with a combination of Microsoft Office Suite (Access, Excel, Outlook, Word), Applicant Tracking System and SharePoint. Ability to comprehend, organize and retrieve detailed information. Ability to maintain confidentiality. Basic mathematical aptitude.
