Schedule: Full-Time, 35 hours/week
Pay Rate: $26.67 (starting rate), $32.00 (position rate)
This is a union position subject to the provisions of the collective bargaining agreement.
As a member of the Education Department, the School Group Visits Assistant contributes to the Department’s role as producers of pedagogical and public programming and resources for youth and their adult counterparts (caregivers, educators, community members). Education team members foster deep and sustained relationships with Bay Area communities such as Bay Area K-12 schools (particularly San Francisco Unified School District) and the San Francisco Public Library. The department’s pedagogical approach centers inquiry, collaboration, dialogue, debate, a plurality of opinions, evidentiary reasoning, and multi-modal experiences. At our core is a foundation of teaching and learning; not just for others but for ourselves as well.
Under the supervision of the Director of Education, the School Groups Visit Assistant assists with the coordination of school group visits for the Museum with an emphasis on scheduling a high volume of K-12 school group visits and outreach programs, including guided tours, teacher guided visits, Stage & Screen visits, Art Kits, and other in-school visits. This role works closely with CRM Enterprise Services, Visitor Experience, Security, and Operations to ensure that processes related to scheduling, ticketing, and welcoming school group visits are accurate and efficient.
Success for the Program Associate will be to support the Education department’s efforts to:
- Offer meaningful, creative, inquiry-based, multi-modal, shared experiences centered around the art of our time through programming, resources, multigenerational learning, and community-based projects for children and their adult counterparts.
- Encourage exploration, experimentation, and creative problem-solving through a broad range of accessible programs and resources.
- Build and nurture relationships to engage diverse, multi-generational audiences in school and family contexts, particularly within the San Francisco Bay Area.
In the first year of work in this position, key milestones will be:
- After 30 days: Establish understanding of key programs and processes in Education. Contribute to projects as assigned. Begin developing departmental, cross-departmental, and cross-divisional relationships. Understand software, programs, and systems for supporting school group visits.
- After 90 days: Demonstrate understanding of museum processes, contribute to projects with increased ability to work independently.
- After 1 year: Demonstrate increasing acumen with supporting program implementation including increased ability to work independently and problem-solve proactively; contribute to refining departmental and cross-departmental workflows; and deepen key professional relationships.
Responsibility & Duties
- Scheduling School Group Visits and Outreach Programs
- Field requests for K-12 school group visits. Create and update constituent records. Process bookings, ticketing, and group confirmations.
- Respond to inquiries and provide accurate information to educators about SFMOMA’s school group visits.
- Work closely with the Program Associate, School Group Visits to perform all steps associated with daily batching in a fast-paced and accurate manner to ensure school tour requests are acknowledged in a timely manner.
- Work with Operations, Security, and Visitor Experience to ensure the daily operations of school visits run smoothly, including logistical support for school visits and communication of daily school visits schedule.
Record Keeping, Data Management, and Reporting- Maintain accurate constituent information within and between Tessitura (CRM) and Artifax (Venue Management), including biographical and relationship information and reporting.
- Compile data and create reports on program attendance for Director of Education.
Program and Event Support- Provide operational and administrative support (e.g. space reservations/set up, etc.) for school tour events and guide trainings that support school visits.
- Request support staffing and volunteers and direct in day-of activities.
- Assist Visitor Experience staff with the entrance and check-in of school groups, as needed.
- Conduct school tours and introduce Stage & Screen programs when needed.
- Participate in Education events and programs. Process forms, purchase orders and other records specific to departmental operations.

- Contribute to the evaluation and assessment of school programs and events.
- Demonstrate a deep commitment to inclusion, diversity, equity, and access, both within and with the communities of diverse cultures, backgrounds, and gender identities served.
- Participate in and contribute to department, division, and organizational meetings, committees, and working groups.
- Undertake other tasks and duties as may reasonably be requested.
Qualifications & Skills
- Bachelor's degree (B.A.) or equivalent combination of education and experience in office settings.
- Previous administrative and customer service assistance experience. Proficiency in MS Office required as well as proficiency with project management, and CRM and/or constituent database programs (e.g. Artifax, Asana, and Tessitura).
- Demonstrated organizational skills and attention to detail, with the ability to organize work, set priorities, and meet critical deadlines.
- Strong interpersonal skills and the ability to work enthusiastically, collaboratively, and diplomatically with Museum staff, visitors, program participants and partners, and vendors.
- Effective written and oral communication skills to address a wide variety of audiences.
- Exhibits an awareness and sensitivity to cultural and other differences when working with partner organizations, staff, program participants, artists, other stakeholders, and the general public.

- Currently hybrid; work varies between close office setting, work from home, busy public environment, and off-site settings. Availability to work some evenings and weekends.
- Must be able to visually inspect work. Ability to work with a computer and headset/phone for extended periods. Light lifting of furniture and resources, and ability to move around a space.
