WHAT WE’RE LOOKING FOR
This company is seeking a talented Executive Operations Assistant who can work effectively in a collaborative, fast paced environment providing analytical and process-oriented operations work for the organization. The Executive Operations Assistant must be an innovative thinker, fast-learner, collaborative worker and self-starter with a passion for the renewable energy industry and track record of success thriving in a high growth environment. The ideal candidate has a strong combination of management, organizational, and technical skills. This is a unique opportunity to play a critical role in developing the company's success during this exciting time of explosive growth in a changing and impactful industry. This role reports into the founder and president and is based at the company’s San Francisco, CA headquarters.
WHAT YOU’LL DO
Executive Support: Provide primary support to the President in all administrative functions including calendaring, schedule management, email management, travel coordination, expense reconciliation, and other high-priority items.
- Efficiently and effectively manage the President’s calendar across multiple time zones. Work with the President to create an ‘ideal work week’ and adjust the calendar according to shifting priorities. Act as a priority setter for meeting requests while minimizing the executives’ day-to-day distractions.
- Represent the President via email, Slack, and phone with internal and external stakeholders. Triage the President’ emails and respond directly where possible in a timely manner.
- Confirm in-person and virtual meetings including research, material preparation, and location/dial-in details.
- Support the President with preparing and editing decks or legal documents; gather materials and prepare agendas for meetings and town halls.
- Coordinate travel including flights, hotels, vehicles, and dining reservations.
- Relationship management - track key stakeholders, investors, clients, and interdepartmental relationships using the

People Ops Support: Foster an inclusive work environment that everyone is excited to thrive in every day with the support they need. Be the first point of contact with employees for all company-related needs, and plan culture-related activities.
- Liaise with external recruiting firms, assist with candidate interview scheduling, and manage the candidate pipeline in company’s ATS.
- Facilitate company onboarding - manage company’s HRIS platform (TriNet), submit initial HR onboarding paperwork; set up IT systems and create training schedules.
- Ensure smooth team member onboarding, including equipping new employees with requisite gear.
- Manage additional projects that include creating and ordering marketing materials, purchasing company swag, cleaning and maintaining company shared cloud drive and tracking internal inventory of tech supplies.
- Source, negotiate contracts, and manage vendors. Act as their point of contact and ensure AP/AR is handled on a monthly basis.
- Events - Drive various events including team activities and companywide offsites. Take charge of logistical planning of virtual and in-person events including lodging, entertainment, travel, and meeting coordination.
- Maintain the office by ensuring supplies and inventory are fully stocked.

WHAT YOU’LL HAVE
- 5+ years relevant experience as a project coordinator, administrator or office manager, prior experience in renewable energy is a plus.
- Proficient in Microsoft Office Suite, Slack and Box; Prior experience using Salesforce and Smartsheets is a plus.
- Excellent organizational, interpersonal, and oral and written communication skills.
- Prior success in working with multiple vendors across several disciplines is ideal.
- Ability to succinctly communicate and summarize complex issues into actionable deliverables.
- Focus on customer service and being a team player.
- Driven, resourceful and comfortable working in an entrepreneurial environment.?

- Ability to consistently work in the physical office for at least 80% of the time in San Francisco.
- BA/BS Degree.
