Job Summary
The Recruiting and Onboarding Specialist collaborates with department managers to understand and identify hiring needs. Use various sources, like recruiting platforms, social media networks and employee referrals to attract candidates. Route applicants though the HSPPR Applicant Tracking System (ATS). Assess and screen qualified candidates and forward to hiring managers in a timely fashion. The Recruiting and Onboarding Specialist is responsible for ensuring a positive job candidate experience from the point of application, throughout the offer process and through first day. The Recruiting and Onboarding Specialist is highly collaborative, people focused, and has a strong desire to serve all departments and divisions of HSPPR.
Key Duties and Responsibilities
- Follow established recruiting strategy and ATS platform to attract qualified candidates to open jobs
- Suggest cost-saving improvements (other avenues to explore) to improve recruiting strategy
- Assist in the development and updating of job descriptions and job specifications
- Prepare recruitment materials and post jobs to appropriate job board/newspapers/colleges etc
- Source and recruit candidates by using databases, social media etc
- Screen candidate resumes and job applications
- Conduct phone screens and (as necessary) in-person interviews to evaluate applicants
- Assess applicants' knowledge, skills, abilities, experience and aptitudes
- Move forward and monitor most qualified and best-fit applicants for consideration
- Track candidate evaluations to ensure hiring process is EEOC compliant
- Register and attend local job fairs that will benefit current recruiting initiatives
- Participate in other community events to gain exposure for HSPPR and promote open jobs
- Coordinate weekly start dates and conduct first-day new-employee onboarding
- Onboard new employees (complete new-hire paperwork, ensure access to appropriate HSPPR systems, and conduct introductory session on HSPPR culture and mission)
- Ensure a warm hand-off to the hiring manager or assigned HSPPR Buddy on first day
- Monitor retention and apply HR recruiting best practices to reduce turn-over
- Provide analytical and well documented recruiting reports
- Act as a point of contact and build influential candidate relationships during the selection process
- Promote HSPPR's reputation as "best place to work"
Community / Other Relationships
- Point of contact for applicants, candidates and hiring managers
- Cultivate and maintain relationships to partner and leverage job fairs and other hiring events
- Source and attend other community events / opportunities to advertise and recruit for job openings
- Demonstrate a commitment to the mission, values, goals, and success of HSPPR.

Physical Demands
- Regularly sits at computer station, often in a shared office environment.
- The employee must regularly lift and/or move 25 or more pounds of moving weight and occasionally lift and/or move up to 40 or more pounds of moving weight.
- Occasionally required to climb or balance, stoop, kneel, crouch, crawl, and smell.
- Regularly required to sit, reach with hands and arms, talk, hear, and may be required to stand and walk.
- Must be able to use both hands and arms to grip, pull and push utilizing safety equipment such as, but not limited to catch poles, snappy snares, leashes, ropes, muzzles.
- Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception.
- Occasionally exposed to noise and potential exposure to hazardous weather conditions.
- Potential exposure to cleaning supplies and/or other substances containing toxic or caustic chemicals.
Schedule Requirements
- Schedule may include weekend, evening, and holiday work.
Education/Experience Necessary
- 1+ years experience in recruitment and onboarding, customer service, or human resource management, or a combination of related education and work experience preferred.
- High school diploma or GED or equivalent (must be able to read, write and communicate proficiently)
- Possess excellent communication and organizational skills. Must be detail oriented.
- Positive attitude and able to effectively communicate the mission and values of HSPPR
- Experience working in an animal welfare organization preferred, animal handling experience a plus.
- Demonstrated ability to be collaborative, people focused, and dedicated to serve the employees and teams of HSPPR.
- Excellent interpersonal skills and ability to build rapport at all levels of the organization
- Emotional intelligence skills essential; able to address people in a calm and professional manner.
- Able to facilitate small group and large group meetings and new-hire classes.
- Proficient in Microsoft Office suite of products, data entry and reporting.
