As the Receptionist, this individual will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization.

As Fleet Administrative Assistant, this individual will perform a wide variety of administrative functions for the Fleet Department. This role will help support the Equipment Manager by performing specific administrative duties.

  • Receptionist for the company, welcomes/directs visitors to the facility and answers the overflow phone system.
  • Sort mail daily and scan appropriate documents to the appropriate person within the organization.
  • Responsible for making the daily bank deposit through the remote banking website.
  • Reconcile companies petty cash monthly.
  • Restock and order supplies for lunchroom.
  • Responsible for companywide fuel accounting. Weekly records vehicle and equipment fuel usage by pulling entries from the Gas Boy, OEM, fuel card websites and collecting fuel logs from supervisors. This information is compared to purchase invoices to ensure that all fuel is accounted.
  • Monitors fuel tank levels and orders fuel as needed.
  • Responsible for collecting and saving records for the Underground Storage Tanks.
  • Oversees Fuel purchasing credit cards and online accounts, monitors transactions for abuse.
  • Oversees EZ pass account and transponders for vehicles. Appeal transactions on the monthly invoices.
  • Ensures that vehicle registrations are current and accurate with Penn DOT
  • Adds all equipment parts and costs from the vendor Purchase order to the appropriate work order.
  • Oversees employee uniform program with an outsourced company. Maintains accurate records of the invoicing.
  • Collect oil samples from mechanics to maintain record keeping of services on equipment. Process samples successfully with outside lab service.

EDUCATION and/or EXPERIENCE

High school diploma or GED equivalent required.

One year of experience performing administrative tasks is preferred.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
