Public Works Office Assistant Job at City of Marianna
This is administrative work in the area of customer service, purchasing, inventory, and maintenance records. This role routinely uses office equipment such as computers, phones, photocopiers, filling cabinets and fax machines. Work is performed under the supervision of the Director of Public Works and is reviewed upon completion at appropriate times by the Administrative Assistant to the Director.
ESSENTIAL JOB FUNCTIONS
- Provides general office support with a variety of clerical duties and related tasks. Answers telephones, give information to callers, take messages, or transfer calls to appropriate individual.
- Greets and directs visitors to appropriate location and staff.
- Takes and receives messages for various personnel.
- Receives, sorts and forwards incoming mail; process outgoing mail; coordinates the pick-up and delivery of express mail services (FedEx, UPS & etc.).
- Assists in the ordering, receiving, stocking and distribution of office supplies.
- Photocopying, faxing, filing and collating.
- Maintains all records of the department including correspondence, maintenance, etc.
- Receives request for services, prepares work orders and purchase orders which included special pickups and yard debris services then directs request to appropriate divisions.
- Serves as direct liaison to Sunshine State One-Call of Florida, generates and manages line locate requests.
- Communicates with contractors and other utility agencies to resolve issues.
- Maintains office inventory.
- Assures compliance with city policies and procedures.
- Create and maintain project files.
- Prepares department timesheets.
- Maintains records associated with City cemeteries.
- Performs other duties as assigned.
QUALIFICATIONS
Education, Training and Experience: Graduation from a standard high school or GED and four (4) years’ experience in clerical, accounting or office management; an Associate’s Degree in accounting/bookkeeping preferred; experience with word processing, spreadsheets and internet research; or any combination of training, education, or experience which provides the required knowledge, skills, and abilities.
Special Requirements:
- Must have possession of a valid Florida driver’s license.

- Thorough knowledge of public works functions.
- Ability to exercise sound judgment in making decisions in accordance with applicable laws, ordinances, policies, and procedures.
- Knowledge and skill in operation of standard office equipment.
- Computer knowledge and proficiency in MS Office.
- Ability and willingness to learn other computer software programs.
- Strong organizational skills.
- Ability to deal effectively with the public in processing customer request and complaints and coping with extreme cases of human behavior.
- Ability to maintain effective working relationships with other employees, outside agencies and general public.
- Ability to understand and follow oral and written instructions in English.
- Ability to communicate effectively both orally and in writing in English.
- Ability to manage time effectively.
PHYSICAL DEMANDS
- Sedentary work: position requires frequent sitting.
- Exerting up to 10 pounds of force occasionally and/or small amount of force to lift, carry, push, pull or otherwise move objects.
- Climbing: Descending and ascending stairs to and from basement.
- Fingering: Picking up, typing, or otherwise working primarily with fingers rather than with whole hand as in handling.
- Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction.
- Visual Acuity: With or without correction. Have close visual acuity to perform and activity such as: preparing and analyzing data and figures; viewing computer monitor and extensive reading; determine the accuracy, neatness and thoroughness of the work assigned or to make general observations.
- Repetitive motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
- Talking: Expressing or exchanging ideas by means of the spoken work including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly and quickly.
- Walking: Moving about to accomplish tasks.
WORK ENVIRONMENT
Work is performed inside an office setting.
HOURS WORKED
Monday through Friday 8:00 am to 4:30 pm in the office unless duties require you to be away from assigned work station.
Job Type: Full-time
