PROJECT/OFFICE ASSISTANT

What we Do or Who Are we: Our Shore Power System was designed and developed with the cruise line back in 2004 here in Seattle, Washington. We are a Shore Power Developer, Operator and Maintainer for Cruise Ship Shore Power Systems located throughout North America. Our systems help reduce the local emissions while cruise ships are at port. This position is focused on the maintenance, operation, and coordination of 10 patented shore power systems. SUMMARY
Watts Marine, a leader in the Shore Power Services industry is looking for a highly motivated, dependable candidate to fill our Project Assistant position at our office in Kingston, WA.

The Watts Marine Project Assistant – Supports and maintains Marine operations as described below.

ESSENTIAL DUTIES & RESPONSIBILITIES
The following are the duties associated with being a Watts Marine Project Assistant. Other duties may be assigned as necessary.

1. Demonstrate flexibility when performing job duties whenever volume and requests for services require. Ability to pitch in where necessary.

2. Represent Watts Marine with the highest of professional standards to all our partners and customers.
3. Reliable, regular attendance and availability during core business hours. In office position.
4. Responsiveness to department, team, and customers.
5. Ability to implement a team-oriented philosophy and approach when dealing with projects, co-workers, and customers.
6. Assist Project Managers with tracking project tasks, scheduling and ordering. Request PO's and track until delivery.
7. Maintain and write processes/procedures.
8. Assist the department with marketing efforts.
9. Reconciliation of monthly project billings, change orders and ensuring that the projects are billed in a timely manner.
10. Keep job folders up to date
11. Prepare and answer emails and traditional correspondence with customers, potential customers and other relevant third parties.
12. Assist Accounts Receivable, as necessary.
13. Assist with contracts as needed utilizing company templates.
14. Prepare and format proposals per direction of Project Manager utilizing Marine templates.
15. Assist with tracking of new leads and the correspondence that this requires.
16. Manage file structure and templates as needed.

17.Assist with HR programs when needed

18. Assists with taking notes for meetings, follows up and comes prepared with their own discussion topics and ideas.

19. Assists with as built drawing updates

20. Manages the project mailing and other office duties as necessary.

QUALIFICATIONS

Education/Experience
Associate degree (A.A.) or equivalent from two-year college or technical school; or 2 years related experience and/or training or equivalent combination of education and experience.

Language Ability
Ability to read and interpret basic documents in English; Ability to write basic correspondence.

Math Ability
Ability to add, subtract, multiply and divide in all units of measure.

Reasoning Ability
Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form.

Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office Suite, Excel, database entry, and project task programs. Ability to learn new software on the fly and implement quickly.
