JOB DESCRIPTION
Summary/ Objective
East Side House Settlement (ESH) is a community resource in the South Bronx. We believe education is the key that enables all people to create an economic and civic opportunities for themselves, their families and the communities. ESHs Harvest to Haven: Home Delivered Meals (HDM) aligns with our mission by maintaining the nutritional health for homebound older adults and their continued quality of life. Older adults who are 60 years of age or older and have difficulty preparing meals can qualify and receive home-delivered meals funded by the New York City Department for the Aging (DFTA).
We are seeking a dynamic, team player who shares our passion for providing exceptional services to meet the critical nutritional needs of these older adults in Community Districts 1-6 in the South Bronx. Reporting to the Senior Director of Food and Nutrition Services, the Clerical Assistant manages and oversees record keeping of the Home Delivered Meals programs including meal statistics on the database systems, and records meal counts of food received and delivered to homes.
Essential Functions:
Under the general supervision of the Senior Director of Food and Nutrition Service, the successful candidate will be responsible for but not limited to:
Manages program records and statistics for Home Delivered meals and City Meals on Wheels contracts.
Manages and maintains PeerPlace database system by entering program data.
Monitor and create daily routes using Routific
Dispatch instructions to Drivers and Runners when addressing client meal issues.
Generates required reports and statistics for East Side House Administrative offices.
Establishes and maintains office filing system and record keeping.
Answers telephone, routes calls, and takes messages.
Provides excellent customer service and client assistance
Tracking and documenting complaints, concerns and challenges presented by clients
Follow-up with clients ensuring complaints challenges were addressed
Escalating concerns and challenges to immediate Supervisor
As directed by the supervisor, they may be required to go on a route and deliver meals to seniors in a Runner capacity.
Maintains office supply inventory, equipment, and other items and reports to supervisor.
Performs other related tasks as requested or assigned.

Required Skills/ Abilities
Thorough understanding of HDM and DFTA policies and procedures;
Providing information sand resources to new clients
Proficiency in use of technology such as laptop computers and tablets;
Proficiency in Microsoft Excel for data tracking;
Good analytical skills and ability to make sound judgments;
Excellent communication, project management, and multi-tasking skills;
Able to remain professional and courteous at all times;
Ability to read, write and speak English.
Must wear face covering and maintain appropriate social distancing.

Work Schedule
Days and hours of work will range within Monday through Friday, 6:00 a.m. to 4:00 p.m. and occasional weekends. Work days/hours subject to change based on ESHs program needs.
Remote Work
ESH has determined that up to zero (0%) of this position can be remote due to COVID-19. Subject to change as public health conditions evolve.
Supervisory Responsibility
None.
Work Environment
This job operates from the main warehouse for Home delivered Meals Program
Travel
Local travel is expected for this position.

Required Education and Experience:
High school diploma or equivalent is required.
Demonstrated cultural competence with respect to the South Bronx and New York City;
Understanding of New York Citys diversity and experience working with people of diverse backgrounds;
Driver's License preferred but not essential;
Certification in Food Safety by the NYC Department of Health and Mental Hygiene preferred;
Experience in food operations preferred;
Bilingual/Spanish is preferred
