What You Will Do

Detonator Production (DP) is looking to fill a vital position on their Business Operations Team. As Professional Staff Assistant (PSA), you will provide administrative support for a wide variety of important functions supporting Group and Division leaders as well as the greater DP staff. This position will directly support DPs Division Leader and staff.

This role will serve as the floor lead for DP Administrative Assistants directing administrative operations across all DP Groups. If selected, you will work closely with DP Division leaders receiving and translating guidance to the administrative team as well as to the group level leaders. Additional duties include advising Division and Group Leaders on administrative workflows and functions to best support the division, building training and development plans for each respective job category in DP, fast-paced scheduling, multi-tasking, coordinating travel, ordering computer supplies, accessories, and office supplies, updating organizational rosters, supporting hiring efforts, supporting the management of office space efforts and renovations, managing multiple conference rooms, preparing and quality checking correspondence, and more.

Minimum Job Requirements:

Safety and Security: Demonstrated ability to ensure safety and security compliance, maintain required safety and security training and procedures, and making safety and security an integral part of every task.

Multi-Tasking/Critical Thinking: Demonstrated ability to perform a wide range of administrative and office-related functions and activities requiring judgment in resolving issues of moderate complexity or in making recommendations and balancing changing priorities. Successful experience multi-tasking and maintaining flexibility with changing priorities is a must.

Communications: Demonstrated ability to generate a variety of internal and external correspondence, reports, spreadsheets, and forms, with limited supervision and general instruction. Demonstrated ability to guide and direct leaderships vision to throughout a small team. Demonstrated ability to advise leaders on the recommended administrative workflows and paths to maximize efficiency in administrative operations. Demonstrated ability to communicate with all levels of employees and leaders across the organization in a timely and professional manner. Experience managing communications at the division level or equivalent.

Tasks / Tracking: Demonstrated ability to maintain electronic and hard copy files in established systems, coordinate calendars and schedules, compile and/or support division level presentations/meetings, and coordinate logistics.

Teamwork: Demonstrated ability to promote positive teamwork and cohesion throughout the Business Operations Team. Demonstrated ability to foster an environment for helping and teaching other team members. Experience

Education/Experience: Position requires a bachelor's degree and 2 years related experience; or an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

Ability to thrive and contribute positively to a very cohesive and highly efficient team of administrative professionals where kindness, willingness to share and teach other team members, and a positive attitude are of the utmost importance while also maintaining a fast-paced workload.

Experience motivating the Division Leadership's mission and vision across the Business Operations Team and the wider division is desired.

Experience working in an administrative role within the Department of Energy is desired.

Experience directly supporting Division Level (or equivalent) leadership is desired.

Active Q clearance is desired.

Work Schedule:

Detonator Production work 4 x 10-hour shifts per week, Mon-Thurs.

Location: This position will be located in Los Alamos, NM.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
