Position Summary
The Portfolio Management Coordinator provides instrumental support to enable the success of our overall fundraising operations. This role manages information to support our data-driven, comprehensive prospect development system. This is a service-oriented role that manages diverse expectations and ensures efficiency of daily administrative functions with internal team members and university partners to help support donors make a difference through their philanthropic giving.
Essential Duties and Responsibilities
Portfolio Assignments
- Complete timely, accurate donor and potential donor assignments within the database.
- Support regular, strategic portfolio evaluations to ensure portfolios remain current, relevant, effective, and manageable.
- Monitor activity and information related to the movement of prospects throughout portfolios, including qualifications.
Solicitation Support
- Partnering with development team members, assist in timely updates and validation of solicitation records, including intuitively editing stages and required adjustments.
- Connect completed solicitations records with gifts and pledges upon receipt within the database.
- Aid in preparation of regular reporting to reflect outstanding, upcoming, and forecasted solicitations for major gifts to fundraisers and organizational leadership.
Data Management
- Serve as a strong user of the database and data visualization tools to provide proactive, collaborative support to assist fundraisers and prospect development team.
- Complete regular data maintenance, specifically for information related to portfolio management, prospect identification, qualifications, and solicitations.
Other Duties
- Other duties may be assigned to meet the organization’s needs.
Education and Previous Experience
Associate’s or bachelor’s degree is preferred but not required. Two or more years of related administrative experience preferred.

- A high level of integrity, including ability to treat confidential information with discretion.
- Ability to be organized and resourceful to locate and compile information and accomplish projects with minimal supervision.
- Consistent attention to detail in composing and proofing materials, establishing priorities, and meeting deadlines.
- Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Ability to work independently as well as in a collaborative team environment with professional demeanor, self-reliance, and resourcefulness.
- Dependability and punctuality.
- High energy, positive attitude, and high degree of initiative.
- Proficient experience using the most recent versions of computer software applications including word processing, spreadsheets, database and presentation software (i.e. MSWord, Excel, Outlook, PowerPoint).
Typical Physical Demands
Requires sitting, standing, bending, reaching, and some lifting. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone, and other office and/or clerical equipment. Requires normal range of hearing and vision.
