Job Summary
Payroll administrator review and process each department’s weekly compensation schedule and ensure each staff member is paid accurately. In this position, you will work closely with other financial personnel to account for wage garnishments, employment taxes and retirement accounts within each employee’s paycheck. Assist in Full Cycle Accounts Payable Duties. Assist with keeping financial records, preparing reports, and updating financial information.
Essential Duties and Responsibilities
(In addition to the following, other duties may be assigned)
Administer paychecks, deduction summaries and earnings statements across CDCFC on a weekly schedule.
Record hours worked, wage amounts and other data about each employee into a computerized payroll accounting system each week.
Evaluate the accuracy of timesheets submitted by each company department every week and contact supervisors or individual employees when there is a discrepancy.
Create new data files for new employees and submit hiring paperwork into the system to set up a payroll account.
Enter information into the payroll system about employee taxes, exemptions, transfers, firings and resignations as details change.
Respond to any errors in payroll by reviewing past records and making any wage corrections or adjustments when necessary.
Track employee absences through the payroll software and record details about personal days, sick leave, jury duty and extended leaves of absence.
Answer employee questions about payroll, leave amounts, tax forms and other compensation issues when asked.
Liaisons with the Account Payable Function
  • Processing the daily purchasing
  • Posting and paying all invoices (high volume)
  • Balancing, posting and paying monthly credit card statements
  • Process Bank and credit card reconciliations
  • Process accounts payable invoices for payment
  • Enter invoices into accounts payable system
  • Corresponding payable invoices for payment
  • Enter assigned accounts payable invoices into the accounting system
  • Maintain all accounts payable vendors
  • Reconcile supplier statements with ledger accounts
  • Preparing and approving POs
  • Posting customer checks, vendor payments, and ACH payments
  • Assist the Benefits Administration Function in paying related Vendor invoices
Liaisons with the Accounting Function
  • Keeping financial records up to date.
  • Fact-checking invoices for payment and processing
  • Assist in maintaining the general ledger
  • Monitoring vendor statements, wire transfer requests, and other transactions
  • Assisting the Accountant with audits, forecasts, and other fiscal planning
  • Correcting and modifying inaccurate files and records
  • Assisting in account analysis and account coding
  • Reconciling account balances
  • Processing billing adjustments and refunds
- Assisting with other accounting duties as needed
Required Qualifications

Education and/or Experience
Bachelor’s degree or equivalent experience, Certified Payroll Professional designation preferred, knowledge of accounting principles and practices, in-depth knowledge and experience of payroll calculation and processing, knowledge of applicable local, state and federal rules and laws, solid financial acumen, proficiency relevant payroll and accounting software.
Language Skills
Ability to read and comprehend simple to complex instructions, short correspondence and memos. Ability to effectively present information and respond to payroll inquiries.
Mathematical Skills
Ability to calculate figures and amounts.
Reasoning Ability
The ability to use sound judgement to make well thought-out and informed decisions, the ability to apply knowledge and understanding, and use critical thinking skills to problem solve situations that involve several variables.
Technology Skills
Ability to use word processing skills, spreadsheet skills, database skills, electronic presentation skills, web navigation skills, e-mail management skills, computer network knowledge applicable to your department, file management & windows explorer skills, computer-related storage devices (knowledge: disks, CD’s, USB drives, zip disks, DVDs, etc.);
Physical Demands
While performing the duties of this job, the employee is regularly required to sit.
Specific vision abilities required by this job include close vision with extended computer-screen viewing.
Mental Fitness
Ability to focus, make clear decisions, use judgement, be stable and can control emotions, remain calm under adversity, ability to handle stress; be able to remain calm and professional in the face of challenging behaviors.
Work Hours
40 hours/week, Monday-Friday.
