Overview

The Office Specialist 2 position provides important services and support in the Multicultural Center of the Diversity, Equity, Inclusion and Belonging (DEIB) Department at Eastern Oregon University. The Office Specialist 2 incumbent is the department receptionist responsible for professoinally greeting all students, faculty, staff, and visitors and providing accurate and timely information in a earnest and courteous manner. The incumbent administratively supports DEIB program initiatives including the activities, events and program needs of the:
  • Multicultural Center;
  • The Rural & Native American Program;
  • The International Student Services Program;, and
  • The Student Resource Advocate position.


The Office Specialist 2 has delegated business support oversight which includes but is not limited to providing:
  • General DEIB office support;
  • Maintaining daily office operations;
  • Processing documents;
  • Creating and maintaining files;
  • Compiling program statistics and assessments;
  • Communicating and disseminating information to students, faculty and staff regarding program operations, services and events;
  • Monitoring budgets and expenses which include FIS and SIS reports, query and payment processing;
  • Assisting with the multicultural recruitment and retention process and communications;
  • Promoting and providing a supportive accessible, safe and inclusive space for learning and collaboration;
  • Developing, updating and maintaining resource materials to enhance learning and program needs; and
  • Ensuring all of DEIB websites are up-to-date with current information.

The incumbent reports directly to the Associate Vice President for DEIB.

The goal of DEIB’s Multicultural Programs & Services is to develop and deliver programs and services designed to support and retain students from socially and culturally diverse backgrounds. DEIB offers an inclusive educational environment that nurtures cross-cultural communication and fosters the exchange of diverse perspectives and ideals. DEIB is committed to offering students a place to engage in multicultural activities that enhance their social and academic endeavors as well as prepare them for success in a diverse global society.
Responsibilities
  • Assist the director with program development, coordination and implementation.
  • Serve as a front-line and first point on contact for student, faculty, staff and visitors to MSPS programs.
  • Oversee daily operations of the MSPS (i.e. maintain electronic and manual files, answer phones, prepare memos/letters, generate reports, make copies, purchase requisitions, bookkeeping, travel advance and reimbursements.)
  • Collect, compile and organize program statistics, evaluations and assessment for the MSPS annual reports and other usage such as grant applications.
  • Assist with hiring, supervising, training and assigning work for student staff.
  • Schedule appointments and maintain the MSPS professional staff’s calendar.
  • Assist with the coordination of the MSPS programming including, events, orientation, visitations, conferences, performances, and guest speakers.
  • Update and maintain the International Student program, Multicultural Center, Rural & Native American programs website.
  • Serve as a resource for multicultural student clubs including responding to inquiries, explaining and clarifying rules, processes, and procedures as well as providing information about available services
  • Assist in collaboration with other departments to integrate multicultural and diversity activities on campus to improve student learning and to foster a sense of belonging.
  • Perform daily office duties including organizing and maintaining filing systems, reading, sorting and distributing incoming mail; ordering office supplies; and maintaining equipment and supply inventory.
  • Process reports including data gathering, review, and analysis.
  • Create and revise manuals related to unit or department programs and services, including writing, editing, proofing, and completing final drafts.
  • Assist with presentation and training of student staff and other student groups.
  • Collaborate with various campus departments to identify barriers, inform others of issues faced by students of color, and work with others to facilitate successful outcomes for students.
  • Prepare, process, and audit payroll timesheets for student workers.
  • Assist the International Student Services coordinator/advisor as needed to compile and send admissions packets that include a letter of acceptance, the form I-20, new student orientation, class registration, travel to La Grande and EOU, and visa information.
  • Communicate with university departments, faculty, and staff as it relates to student retention and underrepresented student needs.
  • Research, identify and solicit possible partnership and programming opportunities, speaker contracts and other resources via web, email, mail and phone.
  • Maintain MC inventory, order supplies, process and coordinate personal services contracts and work orders.
  • Provide information to students, faculty, staff and the public regarding Multicultural/Diversity & Equity programs and services.
  • Monitor program activities in relation to established operational plan and assist with the development of new services and programs, as needed.
  • Provide clerical support for the various scholarships DEIB oversees, including the Diversity Achievement Scholarship Award; COFA, Undocumented, and International Student Success Award; First Citizen Award, among others related to racially/ethnically diverse students.
  • The Office Specialist 2 provides clerical support to EOU SAFE Zone/Mountie Ally (LGBTQ+) and other DEIB trainings.
Minimum Qualifications

  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
  • An Associate’s degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
  • College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
  • This position requires an action-oriented person who is a self-starter with the skill and ability to manage multiple projects with shifting deadlines. Good communication, organizational skills, and ability to network and build/manage relationships are essential. The individual in this position must be confident and comfortable interacting with college students from a variety of backgrounds as well as with faculty and staff.
  • This individual must always portray a positive and welcoming attitude, have good oral and written communication skills and be able to speak in public when needed.
  • The person in this position must be proficient in basic computer software such as MS Word, Excel and PowerPoint as well as Email and Web browsing.
  • The position requires knowledge and multicultural competency skills as an ongoing professional development expectation.
  • Experience with event planning a plus.
  • This individual must be able to: demonstrate sensitivity to/respect for/understanding of the academic and social development needs of students from historically marginalized and excluded populations/communities; have knowledge of issues of social and racial justice as well as an understanding of diversity, equity, inclusion and access efforts as it relates to student success.
  • Must satisfactorily complete EOU criminal and credential background check. Having a criminal history is not an automatic bar to employment.
