Spruce Construction, a custom homebuilder located in Richmond, VA, is seeking a highly-qualified Office Manager with experience in the construction, real estate, residential leasing, or purchasing industry. A candidate for this position would ideally have a minimum of 3-5 years experience in an office environment, be multi-task oriented, organized, and eager to learn new systems and processes. This position will also have crossover roles with Redbud Homes & Properties, a local high-end rental property company. Serious candidates should inquire about a job description.

Spruce Construction Responsibilities:

  • Apply for construction permits with localities
  • Prepare construction agreements and send via DocuSign
  • Deposit and track payments
  • Code invoices and coordinate with accounting on billing inconsistencies
  • Notarize lien waivers
  • Schedule bank inspections and collect construction draws from banks
  • Schedule building inspections and upload supporting documents
  • Order yard signage for each project
  • Collect COIs from each vendor
  • Keep up with service requests from completed projects
  • Work with photographers to photograph completed projects
  • Schedule Dominion engineers to drop power lines and set up temporary power
  • Manage company insurance policies and licensing
  • Prepare and coordinate with Construction Managers regarding OSHA documentation and policies
  • Give input on the social media post schedule and take photos of in progress properties
  • General daily and weekly office support such as management of mail, ordering and maintaining supplies, and prepping conference room for meetings.

Redbud Homes & Properties Responsibilities:

  • List available properties
  • Show available properties
  • Prepare lease agreements and lease renewals
  • Schedule routine maintenance
  • Schedule any service requests with House & Vine handymen
  • Collect, deposit, and track all rent and security deposits
  • Monitor all utility and misc. bills for short-term rentals
  • Handle after hours calls and service issues
  • Monitor rents according to rental market

Job Type: Full-time
