Office Manager/Assisted Living Manager Job at Serenity Manor Adult Day Services
Serenity Manor Assisted Living at Bolton Hill is a 26 bed assited living facility in the Bolton Hill area of Baltimore City. The facility is looking for an experienced Office Manager/Assited Living Manager (ALM) who is familiar and/or has experience in an administrative capacity in one or more of the follwing settings: Nursing Home, Assisted Living, Long-Term Care, Private Duty).
The Office Manager/ALM will be responsible for assisting with the management of the Assied Living facility administrative office. The position's specific duties include, but are not limited to:
- Completing and processing facility paperwork and forms. Ensuring that all paperwork has been properly filed and/or any applicable instructions have been followed.
- Comunicating with other facility staff, visitors to the office, phone callers, etc. This position will routinely interact with medical providers, social workers, clinical staff, state offices, adult daycare, etc. Must be able to communicate both in writing and verbally.
- Assisting residents on medical appointments if needed. Post appointment, all updated resident information obtained from the medical appoinment must be documented accordingly and followed-through as needed.
- Maintaining resident charts. Ensuring that all required documentation is accounted for and if not obtain what is missing.
- Filing all applicable paperwork to include invoices, receipts, resident information, employee information, etc.
- Ensuring the facility is in satisfactory condition. Performing routine inspections to indentify any issues (housekeeping, dietary, resident care), repairs, or concerns in reference to the buidling and/or resident needs. Following up with the inspection results to coordinate any repairs and/or updates as needed. Counsel any employees who are not following proper housekeeping, dietary, and resident care policies and procedures.
- Orienting new employees and ensure all applicable new hire paperwork is completed and placed in the employee file. Review all required documents for any and all applicable certificates, designations, diplomas, etc.
- Collecting and processing incoming mail.
- Providing guidance and/or support to Resident Care Aides, Facilities, and Dietary staff.
- Become familiar (if not already) with guidelines and laws pertaining to an Assisted Living facility governed by the state of MD.
- Additional duties as assigned by management.
Qualifications
-High school diploma or equivalent
- Prior office experience
- Proficient with using the computer and applicable applications including Microsoft Outlook, Word, PowerPoint, and Excel; and Adobe Acrobat. Must be able to use office automation equipment including a printer, fax machine, scanner, and shredder
- Must be able to communicate verbally and in writing
- Must be a self-starter and have the ability to work independently
