The Office Administrator / Assistant position is responsible for ensuring that the Production department runs efficiently. Duties include but are not limited to: verifying accuracy of purchase orders, maintaining the production schedule, matching of packing slips to purchase orders and invoices, & monitoring statements for issues.

Job Duties

  • Purchase supply of products/materials.
  • Determine the lowest cost for products/materials.
  • Track and record orders.
  • Receive orders and document arrivals.
  • Manage supply base.
  • Analyze market and delivery systems.
  • Source and interview vendors; negotiate contracts and costs.
  • Manage Accounts Payables
  • Match Purchase Orders to Order Acknowledgments and verify accuracy
  • Maintain the production schedule
  • Enter bills for payment
  • Pay bills as directed
  • Answer and manage inbound telephone inquires
  • Ensure filing systems are maintained and up to date
  • Prepare documents as needed for audits
  • Perform other related duties as required

Requirements

  • [3] years of direct work experience in an office management or facility management capacity (or related experience)
  • Direct working knowledge of a manufacturing environment
  • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items would be beneficial
  • Strong knowledge of [QuickBooks] software systems, as well as Microsoft office products, including Excel, Word, and PowerPoint
  • Able to maintain filing systems, databases, and basic diary/ minutes management
  • Excellent analytical and problem-solving skills
  • Meticulous records maintenance skills
  • Superior telephone manners and strong interpersonal skills
  • Good financial and business awareness
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team
  • Strong customer service orientation

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
