The Office Administrative Assistant serves as the first impression a visitor to Magleby Construction has about the company. This position will greet visitors, answer phones, sort and distribute mail, and maintain the lobby area. This is a pivotal role in the company. As such, professional appearance, demeanor and standards is a must.

This is a full-time, Monday through Friday position working 8:00AM - 5:00PM. You must have the ability to arrive just before 8AM to open the office and leave just after 5PM to close the office Monday through Friday.

This position will also perform and assist with a variety of administrative, project management and accounting duties.

The ideal candidate is a mature individual who is interested in being challenged to execute a variety of duties yet is satisfied remaining in this position long term.

Office Administrative Duties / Responsibilities:

  • Great visitors, answer phones and serve as a first point of contact
  • Vendor compliance outreach and tracking
  • Assisting our fleet manager with vehicle logs, registrations and tracking
  • Compiling and tracking safety related data
  • Maintenance of the conference room and training room calendar schedules
  • Distribution and tracking of recreational passes
  • Office management functions
  • Updating and maintaining Employee boards

Project Administration Duties / Responsibilities:

  • Preconstructions for small projects, building permits, inspections, etc.
  • Collections and financial tracking
  • Keeping client data up to date
  • New client creation in all platforms BC, Synerion, Divvy, Teams
  • Schedule routine maintenance, compiling maintenance reports, and ordering maintenance supplies
  • Schedule trade partners for maintenance and repairs
  • Scheduling new construction walkthroughs with homeowner, property services and estate homes
  • Updating work order tracking list
  • Sending bids and contracts to clients
  • Time cards / billing

Qualifications

  • Degree in Business Management or similar a plus
  • Experience in accounting and project management
  • Experience in construction administrative support, or construction project management is preferred
  • Strong verbal and written communication skills
  • Excellent documentation and organizational skills
  • Proven computer skills and experience in Excel, Word, PowerPoint and Outlook
  • Time Management skills
