Position Summary:
Reports to a Pathology Supervisor. Medical Records Coordinator is responsible for facilitating the exchange of information between customers: patients, families, healthcare teams, other departments, vendors, billing, or outside agencies. Serves as an initial point of contact for customers either in person or by phone and handles all administrative (non-technical) aspects of the patient encounter and maintains accurate information on each patient to facilitate encounter. Assigned duties involve strong customer service including but not limited to: calls for reports, specimens, interface with patients, clinicians, internal contacts and outside institutions. Accountable for standards of service excellence including patient and or interpersonal relations, teamwork, communication, continuous performance improvement and self management and accountability. Understand HIPAA and departmental specific policies related to medical records, including any discussion, faxing and handling of patient medical records. Responsible for facilitating information exchange Performs a variety of integral activities to assist medical, laboratory, and administrative staff to meet unit, department, and institutional needs. Assists with the overall coordination, planning, development and implementation of assigned projects. Oversees front-desk and administrative duties. May support supervision and performance management of clerical support staff.

Education:
High school graduate or equivalent. Additional coursework in medical terminology, anatomy, pathology, histology and/or physiology are preferred.
Work Experience:
A minimum of 3 years of work experience using customer service, data management, time management and office management skills, preferred. Experience transcribing and dictating medical reports and knowledge of medical laboratory or pathology specimen handling environments is desired.
Knowledge/Skills:
- Knowledge of medical terminology equivalent to that obtained through successful completion of JHH sponsored Medical Terminology course. Knowledge of office and administrative procedures and ability to organize and prioritize tasks normally acquired through two to three years of related experience. Requires comprehensive understanding of personal computers and demonstrated proficiency in the use of standard word processing, power point and spreadsheet software.
- Strongly desired: Medical terminology, specifically pathology; medical transcription guidelines and practices.
- Individual must successfully pass a medical terminology assessment before hire with a 70% or higher; or will be required to successfully complete the JHH Medical Terminology course within their first 12 months of employment.
- Ability to accurately type a minimum of 30 words per minute.
- Demonstrated skills in customer service. Experience working in support of medical professionals in a clinical and or academic environment. Ability to utilize critical thinking skills to recognize and/or anticipate the needs of customers and respond accordingly. Analytical ability to organize work, set priorities, performs duties simultaneously, and effectively function in stressful situations. Highly effective verbal and written communication skills to coordinate/provide information to patients, families, and the health care team. Communication skills including but not limited to: active listening, grammar, punctuation and style. Highly effective interpersonal skills necessary to interact with patients, visitors and other health care team members via the telephone, writing/email, or in-person. Ability to maintain current knowledge in business and technology and be able to apply this knowledge to the business setting by making recommendations to improve operations. Demonstrated PC proficiency, including word processing and database. Ability to perform with a high degree of accuracy and with meticulous attention to detail; proofreading, editing skills.
