Job Summary:
The Medical Office Coordinator is responsible for supporting the office for assisting Physicians, Mid-Level Practitioners, and Registered Nurses with the evaluation, management, and treatment of patients. This role assumes responsibility for maintaining patient flow, the upkeep of exam and treatment rooms, and performing basic skills such as vital signs and point of care testing. In addition, the Medical Office Coordinator will administer injections, immunizations, small volume nebulizer treatment, over-the-counter medications under the direction of a Physician. Responsibilities:
Job Responsibilities:
Coordinates administrative office functions as well as documents patient care information in the outpatient medical record according to standards.
Coordinates insurance authorizations and manages referrals
Coordinates training for staff and patients
Responsible for scheduling and acknowledging patients throughout the check-in and check-out process
Reviews patient charts and ensures that all ancillary reports and required paperwork are available to the provider at the time of visit.
Collects time of service payments, posts payments in EPIC, and reconciles end-of-day receipts.
Coordinates information flow in and out of the clinic. Addresses patient calls efficiently and courteously.
Accesses EPIC to retrieve referrals, orders and other documentation and contacts various outside agencies to obtain referrals and other documentation.
Provides cross coverage to other offices or clinical areas as assigned.
Performs patient intake: vital signs, height and weight, reason for visit, interim history, allergies, medication lists, and other interventions as required.
Performs procedures within CMA scope as defined by Rush Oak Park Hospital Group
Ensures compliance with accreditation and regulatory bodies within area of responsibility.
Creates staffing schedules with lead staff to ensure coverage is maintained to meet clinical care needs
Performs patient intake including vital signs, height and weight, reason for visit, interim history, allergies, medication lists, and other interventions as required.
Documents patient care information in the outpatient medical record according to standards.
Cleans, prepares, and stocks exam rooms, treatment rooms, and workstations.
Reviews appointment schedules and ensures all patient charts are available for the visit.
Performs and administers basic lab, treatments and testing procedures such as EKGs according to standards.
Performs phlebotomy
Administers ROPPG approved intramuscular or subcutaneous medications after competency has been assessed, verified and documented.
Documents administration of over-the-counter medications and/or other medications in Epic; in addition to medication refills under the direction of a Physician.
Informs patients regarding test results and medical instruction under the direction of a Physician.
Assists in the care, cleaning, and sterilization of equipment and instruments.
Maintains the inventory of medical and linen supplies.
Maintains quality control for equipment and participates in quality improvement projects.
Maintains compliance with The Joint Commission (TJC) standards and other regulatory bodies.
Other duties as assigned.

Required Job Qualifications:
High school diploma or GED
Graduate of an Accredited Medical Assistant Program
Current Clinical Medical Assistant Certification by AAMA, AMT, or NCCT (includes principles and techniques of injections and medication administration).
Current CPR Certification
3 years of clinical experience
Phlebotomy experience
Epic Ambulatory experience
Computer skills
Excellent communication and interpersonal skills
Excellent customer service skills
Excellent organizational skills
Demonstrates appropriate population specific techniques with patients.
