Medical Staff Office

Coordinates the provision of a variety of services, psychiatric and medical, to the patients at Colorado Mental Health Hospital at Fort Logan. The work unit provides administrative, clinical, strategic, and operational leadership to ensure the delivery of high-quality care throughout the hospital. In addition, the work unit oversees all medical staff administrative and fiscal matters, ensures hospital staffing of psychiatric and medical physicians and providers, and ensures regulatory compliance.

This position is expected to be on-site Monday-Friday

The Medical Staff Office Program Assistant provides support to the Medical Staff Office, Chief of Psychiatry, Pharmacy, and office of the Chief Medical Officer. This position coordinates and arranges 24/7 on-site physician staffing, organizes on-call schedules, provides administrative support to the medical staff, manages physician invoicing and payments, coordinates resident and student training experiences, procures goods and equipment, tracks budget expenditures, assists with credentialing procedures, manages timekeeping for classified and contract personnel, and provides support to unit leadership.

Primary Job Duties:

Hospital Coverage & Scheduling
  • Ensures 24/7 on-site physician coverage and backup on-call physician coverage.
  • Negotiates with physicians to cover shifts, develops and publishes coverage schedules, reminds physicians about their shifts, and manages last-minute call-offs.
  • Collaborates with hospital stakeholders to ensure seamless communication of hospital coverage.
  • Responds to urgent physician scheduling issues after-hours and ensures 24/7 physician coverage. This requires being available after one’s regularly scheduled duty hours and may require coming into the office outside of regular duty hours to secure physician coverage in case of a no-show, call-off, or last-minute emergency.
  • Tracks Board of Medical Consultant data and ensures compliance with utilization restrictions as outlined in statute.
  • Tracks and submits contract physician time and leave balances, develops any necessary reporting, and serves as a liaison for CU contract timekeeping.
  • Coordinates fellow, resident, and student rotation schedules.

Program Support
  • Manages timekeeping for state personnel in the Medical Staff Office and programs under the purview of the Chief Medical Officer using the KRONOS UKG timekeeping system. Tracks all KRONOS activity and ensures accurate accounting of all staff. Runs reports, coordinates the approval of any missing entries, and maintains accurate records as required by CDHS policy and procedures. Alerts supervisors of any deficiencies, approvals, or signature requirements before payroll close deadlines.
  • Manages calendars and schedules meetings. Prepares agendas and meeting discussion documents for meetings. Accurately records meeting minutes. Facilitates viewing of electronic documents during virtual meetings. Finalizes and disseminates meeting minutes.
  • Takes the lead and handles special projects and initiatives for the work unit.
  • Uses electronic software such as Adobe Pro and other electronic means to digitize Medical Staff Office forms and credentialing paperwork and to allow for electronic authentication.
  • Tracks medical record data and deficiencies and works with physicians and providers to correct them, sending reminders and assisting where able.
  • Assists with Medical Staff OPPE/FPPE (Ongoing Professional Practice Evaluation and Focused Professional Practice Evaluation), quality reviews, and other audits.
  • Assists with documenting and tracking quality reviews and plans of action
  • Manages day-to-day correspondence and information flow. Disseminates documents, information, notices, and reminders to various departments and personnel.
  • Creates documents and spreadsheets, charts, graphs and other documents to clearly, professionally, and succinctly communicate information.
  • Assists the Medical Staff Coordinator with credentialing personnel, arranging for background checks, and onboarding students, residents, and staff. Serves as a backup to the Medical Staff Coordinator when away from the office.
  • Submits Personnel Action Forms (PAFs), remains abreast of hiring processes, and facilitates the on and off-boarding of personnel.
  • Monitors CDHS, OBH, and hospital correspondence, alerting unit leadership to issues that impact the office or require action. Recommends the most efficient course of action.
  • Completes general clerical duties, handles mail, routes correspondence, organizes documents, and ensures materials are readily available. Maintains the copier and other office equipment. Submits work orders.
  • Supports the Medical Staff with various tasks such as submitting requests for computer assistance, reducing fire load, providing clerical support, etc.
  • Maintains the On-Duty physician suite, ensures it is well stocked, and addresses any custodial needs with Facilities Management. Sanitizes the suite once a month.
  • Keeps the office and all of its administrative activities organized, accessible, and presentable.

Purchasing / Billing / Invoicing / Travel / Inventory
  • Manages billing, invoicing, and processing for payments (greater than five million dollars annually)
  • Purchases supplies and equipment for the Medical Staff Office, Pharmacy, and other programs as needed.
  • Tracks budgets and works with the Accounting and Finance Offices to adjust encumbrances, troubleshoot discrepancies, correct errors or omissions, track down expenditures, etc.
  • Ensures proper coding of transactions and compliance with all CORE procedures
  • Works with procurement officials to properly procure large dollar items, develop bid solicitations, and maintain compliance with fiscal rules
  • Arranges in-state and out-of-state travel, keeps accurate records, and remains current with state travel procedures
  • Maintains accurate records for State P-Card, Event, and travel transactions
  • Navigates and stays abreast of CDHS & OIT policies, procedures, and practices (e.g., accounting, HR, payroll, travel, OIT, etc.,).
  • Tracks Medical Staff computer inventory and works with the hospital’s computer tracking administrator to coordinate the installation of new hardware and software.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications:

Five years of administrative experience, which includes professional administrative experience.

Substitutions:

Appropriate education will substitute for the required experience on a year-for-year basis.


Preferred Experience:

  • At least two years of office management experience, including data management and analysis, administrative support, tracking budgets developing financial projections, timekeeping, inventory management, and customer service.
  • Advanced experience and skill in collating, organizing, analyzing, and disseminating large amounts of information with accuracy and clarity, including identifying patterns and trends, in addition to the development of reports to include graphs, charts, and tables.
  • Highly proficient in Microsoft applications (Word, Excel, PowerPoint, Adobe) and Google applications (Mail, Drive, Docs, Sheets, etc.)
  • Excellent oral and written communication skills, including grammar, spelling, and editing skills and experience developing professional correspondence
  • Superior organization, customer service and interpersonal skills
  • Ability to independently synthesize and organize data into a logical, impactful, presentable format
  • Compulsive attention to detail, accuracy and recordkeeping practices.
  • Strong critical thinking and analytical skills with the ability and flexibility to learn new systems, processes, and policies/regulations/protocols
  • Experience as an executive assistant.
  • Demonstrated ability to prioritize, multitask, and meet deadlines with minimal direction
  • Experience with Electronic Health Records

Conditions of Employment:

  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position. Upon hire, new employees will have three (3) business days to provide attestation to their status with proof of vaccination. Vaccinated employees must provide proof of first dose prior to providing care.

    • Note: Fully Vaccinated means two (2) weeks after a second dose in a two-dose series of the COVID-19 vaccine, such as the Pfizer, Moderna or Novavax vaccine, or two (2) weeks after the single-dose vaccine, such as Johnson & Johnson’s Janssen vaccine.
