Medical Administrative Technicians/Surgical Coordinator (Refractive Services) Job at JVM Solutions
JOB PURPOSE
JVM is hiring a Medical Administrative Technician/Surgical Coordinator (Refractive Services) to provide medical administration and program assistant services in a wide range of organizational, business, and financial operations to include but not limited to: performing data collection, computation, interpretation, and presentation.
DUTIES AND RESPONSIBILITES
Greet patients professionally both in person and on the phone
Check patients in and out
Complete consult bookings as needed
Maintain provider schedules; Open, Block, and Adjust as instructed
Explain/process intake forms
Procedure patients; give patient consent to sign/if patient has questions refer to provider or nursing staff
Complete third party insurance form
Assist senior level management by providing technical expertise and administrative support impacting plans and operations, compliance, risk and quality management, managed care, human resource management, logistics management, patient administration, budgetary and fiscal management, medical manpower, information management, medical readiness, medical facility management, and biometrics.
Provide administrative support by performing various clerical and administrative duties to include but not limited to developing presentations, performing office automation duties to include but not limited to word processing, email correspondence, managing suspense’s, creating briefing charts, and development/tabulation of spreadsheets.
Provide customer service and administrative support in patient care areas and their assigned departments in the medical treatment facility.
Verifies- patient demographics and advises patient to update Defense Enrollment Eligibility Reporting System (DEERS) information if required. CP will enter any new contact information to include but not limited to address and phone number in the MHS (Military Health System) Genesis utilizing the Demographics Module.
Coordinate TDY for patients who travel for surgery.
Coordinate Medical TDY for Patients coming for specialized medical procedures (Corneal Cross Linking).
Schedule surgeries.
Correspondence with patients Commander/ Unit when needed.
Provide scheduled patients with proper paperwork when scheduled so they may schedule flights, room and board, transportation etc.
Respond to emails from patients requesting surgery.
Email all available surgery dates to patients who have been approved for Refractive Surgery.
Coordinate medication lists with Optometrist/ pharmacy.
QA all documentation prior to surgery.
Ensure that each patient receives the correct paperwork for surgery.
Schedule appointments for any of our research patients.
Request gate access for patients who don’t have an ID.
Request gate access for Medical students and residents.
Coordinate request for base lodging for patients who are TDY.
Make sure all documents are in and all charts are complete.
Coordinate with protocol office when VIP tours occur.
AUOF /PRP research/ notification to service members’ commander (Armed use of Force / Personnel reliability program).
All appointments check in and checked out.
Appointments scanned and dropped into MHS (Military Health System) Genesis.
Group Consent CHECKED IN.
All surgery schedules entered and booked in MHS (Military Health System) Genesis by 2 duty days prior to consent brief.
Final time out printed prior to consent brief.
Week final post op printed prior to consent brief.
Aviator AF2992 for flyers filled out and printed prior to consent brief.
AF469 entered into ASIMS for patients once surgery has occurred and printed once completed.
AF422 filled out and printed for USN/USMC/USCG.
DD3349 USA profile printed out.
Coordinate completion of DA31 (Army Leave) & AF988 (Air Force Leave form) as well as leave for other service branches.
Create envelopes for post op patients.
All charts QA’d for missing paperwork by 2 days prior to consent brief.
TDY charts sent to clinic 1 week prior to surgery for pre op appointments.
MRL’s printed the day before the consent brief.
Medication tapers printed.
QA final time out and DR’s note right after surgery and post op.
Make copies of surgery notes and place into envelopes.
Transfer paperwork into correct chart depending on type of procedure.
Local post op charts are sent to clinic right after 1 week post op.
Book 1 month post op for local patients.
Schedule cornea appointments when needed.
Answer phones (provide information to patients) and or take message.
ASIMS profile.
Monitor COVID DOD travel restrictions.
Manage DOD VA patient referrals.
QUALIFICATIONS
A high school diploma or equivalent.
Must have experience with Microsoft (MS) Office suite which includes but not limited to: MS PowerPoint, MS Excel, and MS Word.
Knowledge of various microcomputer equipment with ability to input, retrieve and format data.
Effective communication skills, both orally and in writing, to clearly and successfully deliver, receive, and understand messages.
Contractor Personnel "CP" must possess the ability to research operational activities requiring coordination with multiple functional organizations within the Air Force as well as other civilian and federal agencies.
Scheduled Weekly Hours:
40 hours per week; The CP shall not exceed 9 hours per day which includes a 1 hour unpaid lunch; not to exceed 40 hours per weekly period.
Shift:
Monday thru Friday, within the various facilities operational duty hours of 6:00 am - 5:00 pm
OTHER REQUIREMENTS:
Must pass criminal background check.
