The company is currently seeking a Bilingual Expatriate Administrator.
We are looking for a part-time Expatriate Administrator for Daifuku North America Holding Company (“DNAHC”) and its group companies (mainly Daifuku America Corporation, Jervis B. Webb Company, Wynright Corporation, Elite Line Services Inc. and Daifuku Cleanroom Automation America Corporation). DNAHC is a wholly owned subsidiary of Daifuku Co. Ltd. (“Daifuku Japan”), a Japanese Corporation, the shares of which are publicly traded on the Prime Market of Tokyo Stock Exchange. Daifuku Japan is one of the largest manufacturers and sellers of material handling and related equipment in the world. Daifuku Japan has subsidiaries located throughout the world, including Europe, Asia, Oceania and Canada, and employs more than 12,000 individuals worldwide.
Major Areas of Responsibility
- Prepares visa application documents by communicating with the attorney, expatriates and internal functions including Daifuku Japan.
- Prepares tax return documents by communicating with accountants, expatriates and internal functions including Daifuku Japan.
- Maintains payroll data by combining several data in Excel.
- Edits, analyzes and interprets relevant information to clarify missing terminology and supply missing/misstated information in order to expedite impending completion of each.
- Act as a liaison between expatriates, internal functions and external professionals to facilitate work and accomplish objectives.
- Maintains complete professionalism along with superior communication skills both written and verbal.
- Develop, proofread and edit complex business documents from limited information with minimal guidance, and make suggested improvements based on knowledge of processes.
- Professionally handles calls independently as necessary.
- Make administrative decisions based on knowledge of company policies.
- Make occasional offsite local trips.
- Contributes to team effort by accomplishing related results as needed.
- Part-time position 20 hours per week
Basic Broad Knowledge
Clerical – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.- Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Time Management — Managing one's own time and the time of others.- Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Verbal and Written Expression and Recognition — The ability to listen to, understand and communicate information and ideas presented through spoken or written words and sentences.
- Problem Sensitivity — The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
Qualifications
- Organizational skills, detail orientated and the ability to multi-task are all a must. Must be able to work in a team environment.
- Maintain a high degree of confidentiality
- Demonstrate initiative and follow-through
Education & Experience
Bilingual English and Japanese – written and verbal- Bachelor’s Degree in business or related field of study or equivalent work experience.
- Advanced knowledge and use of Microsoft Word, Excel, PowerPoint, Outlook, SharePoint.
- 3 years of administrative support experience – expatriates are plus.
- Basic knowledge in Accounting is preferred.
- Work experience with Japanese associates is preferred.
