The Human Resources Coordinator is the hub of virtually all our HR business and is instrumental in providing support to the department as well as to employees of University Settlement. Two days are never the same on our team – ours is a fast-paced, dynamic environment with multiple moving parts. The ideal candidate is someone who can keep up with the pace, is flexible to the demands of the department, a master of organization and prioritization and who wants to be steeped in the day-to-day running of a traditional HR management organization. This position is heavy on data, filing and email management. You will have your hands full from 9am to 5pm!

Responsibilities:

  • Manage the USS PCF and HR Operations mailbox, follow up with managers for the pre-hire documents, onboard the USS new hires through the Paycom system, create the new hire profiles; maintain the employee’s personal files; assist with the offboarding process by sending out exit survey and benefit exit information
  • Update and maintain the employee data in HRIS - Paycom; create employment change memos for staff
  • Work closely with the HR Generalist to coordinate bi-weekly new hire orientations - invite the new hires to orientation and conduct the orientation as needed
  • Initiate and administer background checks (criminal, fingerprint, State Clearance) clearances as requested
  • Handle the employment verifications and income eligibility forms as requested – route appropriate verification requests to third party verification system
  • Create photo ID cards for the employees
  • Prepare requests for payments of the invoices
  • Provide backup support on compliance and the audits preparation
  • Update and maintain labor law posters throughout the USS programs
  • Assist with filing EEO-1 reports and other report requests
  • Maintain the system and platforms
  • Other tasks as assigned

Qualifications:

  • Bachelor’s degree preferred
  • At least one year of administrative support experience in a fast-paced, dynamic environment
  • Experience in human resources is a plus
  • Must be detail-oriented and possess excellent communication and organizational skills
  • Must be professional and personable
  • ability to exercise sound judgment when dealing with sensitive and confidential matters
  • Experience with Paycom software is preferred
  • Familiarity with MS Office programs, particularly Outlook, Excel and Word

Hours: 35 hours per week
