We are looking for an organized, self-motivated, and teamwork-oriented candidate to join our team as the Housing & Administrative Specialist for our Transitional Living Program.
JOB SUMMARY
Provides housing and administrative support and assistance to the Transitional Living Program team.
PRINCIPAL DUTIES & RESPONSIBILITIES
- Process HUD rent and utility expenses through Web Invoicing
- Follow-up and respond to questions or problems related to rent or utility payments.
- Copy and maintain forms for intakes and annual certifications
- Maintain current list of landlords for TLP housing projects, stay updates on current availability, and connect clients with available units.
- Track turnover of TH units and keys for each unit. Communicate maintenance needs to landlords.
- Assist Case Managers with the intake/move-in process and completing initial and annual HQS inspections.
- Assist with new staff on-boarding including training/orientation to the rent and web invoicing processes.
- Return basic correspondence.
- Assist with general office organization, including ordering supplies.
- Other duties as needed or assigned by the Housing Manager and/or Asst. Manager.
SECONDARY DUTIES & RESPONSIBILITIES
- Answers the business line.
- Dispenses bus tokens.
- Assists with file organization including relocation of exited client files to agency file storage room.
- Assists with audits and funder monitoring visits.
Key Relationships
- Interacts with TLP Housing Manager, Asst. Manager, and Case Managers.
- Maintains contact and good rapport with landlords and/or property managers.

QUALIFICATIONS:
Education/Experience
An associate’s degree, or two years’ experience in administrative assistant roles, or any similar combination of education and experience. Experience with HUD housing programs highly preferred.
Skills/Specialized Knowledge/Abilities
- Political and social sensitivityExcellent communication skills
- Proficiency in MS Office with expertise in Microsoft Word and Excel
- Ability to work independently
- Detail oriented with strong administrative, organizational and computer skills
- Ability to maintain confidentiality
- Knowledge of Rapid Re-Housing and/or other HUD projects preferred
- Knowledge of office procedures
WORKING CONDITIONS:
Working Hours/Environment
- Office hours are 40 per week; may require additional hours periodically depending on business needs
- Remote/hybrid setting as well as work and travel within the community.

Personal computer, copier, fax/scanner, phone, and other typical office equipment
Travel
- Local travel, moderate – approx. 30%
- Valid driver’s license and reliable insured personal vehicle required.
